DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
As part of the Marketing, Communications, and Customer Experience (MarCommCx) Division, the Public Art Program acquires, oversees, directs, and maintains the public art collection and cultural programming at Houston Airports. The Houston Airport System's mission is to connect the people, businesses, cultures, and economies of the world to Houston. The MarCommCx Division supports this mission by creating strategies that enhance passenger experience, maintain a positive external image, and deliver engaging programs for travelers.
PURPOSE OF THE POSITION
Reporting to the Senior Division Manager, Public Art Program the Administrative Coordinator will oversee all day-to-day aspects of Collection Management - installation, maintenance, condition assessment, conservation, relocation, cataloging, database, and documentation at Hobby Airport (HOU). The position provides comprehensive administrative and operational support to the Public Art Program at Houston Airports. In addition, this position oversees the Civic Art Collection and supports cultural programming across all airport campuses.
Interested candidates should be comfortable in making key decisions, identifying challenges and problems, and initiating solutions. The role requires strong organizational skills, attention to detail, and the ability to coordinate multiple projects at once while collaborating with internal and external stakeholders. Must be self-motivated and comfortable to take ownership of projects.
Must be able to pass a criminal background check, obtain and maintain federally mandated security clearances where required."
The Administrative Coordinator duties will include but are not limited to:
Full Program Coordination and Collection Management of all art and decor objects (once acquired and curated) including installation, maintenance, condition assessment, conservation analysis, art handling, documenting, cataloging, data base, signage and other passenger interfacing at Hobby Airport and IAH, when necessary.
Responsibility for ongoing HOU art projects including communicating with stakeholders, problem solving, supervising artists, contractors, and sub-contractors, and providing updates to Senior Division Manager, Public Art Program (HAS Art Curator) and HAS Leadership on a consistent basis.
Develop and implement maintenance schedules; Assess conservation needs for the nearly 400 works of art owned by the City at Houston Airports, and initiate care and cleaning of art objects at all HAS facilities and terminals.
Actively partner with HAS Custodial and Maintenance to oversee cleaning of adjacent art areas, refurbishing of painted walls and surfaces, inform stakeholders of related needs.
Maintain the Public Art Program database and archives (digital and hard copy), maintaining accurate inventory of the Civic Art Collection, including condition reports and appraisals.
Facilitate art handling, transportation, storage, and installation as needed.
Provide operational and logistical support for Artist in Residence and Airport Art Ambassador programs, including artist orientations, studio setup, production support, and program direction.
Support Houston Airports performing arts program and other cultural programming needs.
Work with contractors, artists, and internal departments including architects, Infrastructure Division, Building Standards Group, aviation partners, for site-specific commissions and installations within construction projects.
Engage with community and governmental stakeholders as needed and as directed.
Respond and react promptly to requests from senior leadership and communicate progress and concerns through the chain of command.
Initiate expansion of didactics and name tag program, updating and expanding all posted and printed information in English and Spanish.
Analyze the overall accessibility of the Public Art Program and implement strategies to make the program more accessible to the widest number of passengers.
Inform Marketing and Communications teams on new installations and location changes for promoting.
Track inventory, organization, and readiness of tools, supplies, and storage areas supporting the Program.
Execute décor needs for administrative buildings and common use spaces.
Represent the Senior Division Manager, Public Art Program when necessary.
WORKING CONDITIONS
The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature, and air conditions. Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances; or the ability to make coordinated eye/hand movements on a patterned response space within low tolerance demands with no real speed requirements.
MINIMUM REQUIREMENTS
EDUCATIONAL REQUIREMENTS
Requires a Bachelor's Degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENTS
Five (5) years of administrative experience is required.
Professional administrative experience may be substituted for the above education requirements on a year-for-year basis.

PREFERENCES
Preference given to applicant with related public art program coordination and collection management experience, Spanish speaking language skills, ability to lift objects weighing up to 50 pounds, familiarity with basic tools, proficiency with related computer software and programming, capacity to both sit and/or walk for extended periods of time.
Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
