Mission Support and Test Services, LLC (MSTS) manages and operates the Nevada National Security Site (NNSS) for the U.S. National Nuclear Security Administration (NNSA). Responsiblities
The Fleet & Critical Site Infrastructure (FCSI) Division is looking for a motivated, self-starting Administrative Specialist II to support the Division within the Maintenance & Critical Site Infrastructure Directorate. This position reports to the FCSI Division Manager and is located at the NNSS in Mercury, NV. This position will interact with multiple layers of management and employees in MSTS and the ideal candidate should be detail oriented and have a high level of organizational skills.
Key Responsibilities
Evaluate business effectiveness of programs and processes and formulate recommendations for solving problems and addressing issues for improving division effectiveness.
Manage administrative functions for the team, including meetings, correspondence, reproduction, Outlook calendars, travel, prepare expense requisitions, records, training scheduling, and order office supplies.
Manage documents reviews and inventories, performing as the records coordinator.
Prepare job requisitions for new hire process including coordination of resumes, organizing interviews, arranging visits to the site, and monitoring job requisitions for the division within Oracle Fusion. Coordinating with Labor Relations and Human Resources.
Lead and support Division meetings, establish/run Teams meetings, develop agendas, distribute notes, and track actions through completion.
Act as Time Administrator for non-bargaining and bargaining Division personnel.
Develop and maintain organizational charts.
Complete training and support the Division as a Derivative Classifier & Reviewing Officer.
Manage all Personal Protective Equipment vouchers for the Division and monitor personnel eligibility.
Work independently on special, nonrecurring and ongoing projects or initiatives.
Perform administrative duties as required by FCSI Division Manager.
Qualifications
Bachelor's degree in related field and at least 2 years' of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.
Able to utilize independent judgement, creativity, and initiative to resolve current and future problems and ensure requirements are completed efficiently and on time.
Ability to observe, receive, and obtain information from all relevant sources.
Be highly organized to develop specific goals and plans to prioritize, organize, and accomplish assigned projects.
Possess excellent interpersonal skills and ability to communicate with internal and external contacts, representing the organization in tactful, professional, and effective manner.
Ability to develop constructive and cooperative working relationships with team members and external stakeholders.
Proficiency in the use of software applications including Microsoft Office and general office equipment.
Proficient in the use of in-person, virtual, and hybrid virtual technologies, such as video conferencing equipment, Teams, and WebEx.
Must be cleared or able to be cleared to a Q level clearance.
The primary work location will be at the Nevada National Security Site (located 65 miles northwest of Las Vegas, Nevada).
Work schedule will be 4/10's, Monday - Thursday (subject to change).
Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
Must possess a valid driver's license.
MSTS is required by DOE directive to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants offered employment with MSTS are also subject to a federal background investigation to meet the requirements for access to classified information or matter if the duties of the position require a DOE security clearance. Substance abuse or illegal drug use, falsification of information, criminal activity, serious misconduct or other indicators of untrustworthiness can cause a clearance to be denied or terminated by DOE, resulting in the inability to perform the duties assigned and subsequent termination of employment. In addition, Applicants for employment must be able to obtain and maintain a DOE Q-level security clearance, which requires U.S. citizenship, at least 18 years of age. Department of Energy Q Clearance (position will be cleared to this level). Reviews and tests for the absence of any illegal drug as defined in 10 CFR Part 707.4 (http://www.ecfr.gov/cgi-bin/text-idx?SID=14b1c770db022992d237769fbe9fc519&mc=true&node=se10.4.707\14&rgn=div8) , "Workplace Substance Abuse Programs at DOE Sites," will be conducted. Applicant selected will be subject to a Federal background investigation, required to participate in subsequent reinvestigations, and must meet the eligibility requirements for access to classified matter. Successful completion of a counterintelligence evaluation, which may include a counterintelligence-scope polygraph examination, may also be required. Annual salary range for this position is: $65,249.60 - $97,884.80.
Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
