Department Summary:
The selected candidate will provide Administrative Assistant support for multiple Finance Directors at MITRE. The primary focus of this position is the efficient and proactive execution of all operational and administrative functions, while maintaining the highest level of personal and professional standards and conduct. This position is located in McLean, VA. The successful candidate should have demonstrated experience of providing high level administrative support to leadership personnel.
Roles & Responsibilities:
In this dynamic, fast-moving role, your key responsibilities will include:
Managing the daily schedule for multiple Finance Directors, which requires the ability to prioritize requirements and demands
Arranging travel including preparing itineraries
Preparing and processing expense reports
Planning, coordinating, and supporting a variety of meetings, presentations, and employee engagement events, including arranging for venue, catering, duplication of materials, audio-visual needs, etc.
Attending meetings and recording notes and actions as needed
Maintaining security of highly sensitive and confidential information
Working in a collaborative atmosphere with the entire Finance Administration team, where vacations are coordinated, and coverage is secured as necessary
Document coordination and content management; printing, copying, mailing, scanning
Coordinating to obtain Senior Leader signatures and approvals on documents
Scheduling interviews, arranging parking, and escorting visitors
General office management responsibilities, such as ordering supplies, processing purchase orders or requisitions, monitoring budgets, etc.
May take on ad hoc special project assignments
Other duties as assigned
Basic Qualifications:
The successful candidate must have demonstrated experience supporting a senior executive, recent experience supporting equivalent executive level staff, or experience supporting a department in an administrative role.
Typically requires a minimum of 2 years' experience and an Associate degree, or equivalent combination of education and related work experience.
High level of poise, tact, and diplomacy in working closely, often under time pressure, with highly sensitive information, with a diverse group of executives, customers, managers, and support personnel.
Ability to provide occasional out of normal business hour support.
Independent decision making, accuracy, and follow through on a broad range of administrative support tasks.
Ability to effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation.
Demonstrated proficiency with Microsoft PowerPoint, Word, and Excel.
Strong capability with Microsoft Outlook.
Competence in the latest mobile, desktop, and VTC technologies (Microsoft Teams, Zoom, etc.).
Ability to troubleshoot and resolve technical issues as they arise.
This position requires a minimum of 4 days a week on-site
Preferred Qualifications:
Bachelor's Degree or equivalent.
Experience with Microsoft Teams toolsets / apps.
Experience with Concur travel and expense software.
Experience supporting a CFO or Senior Executive in a Finance organization.
Experience using SharePoint and updating department pages.
Project Management experience: ability to develop plans, manage deadlines, and mitigate risks.
Superior interpersonal, written, and verbal communication skills.
Ability to work collaboratively with others.
Able to proactively assess situations and make decisions within broadly defined practices and procedures.
Strong organization skills with attention to detail.
Ability to work independently while interacting with MITRE and government professional staff.

$62,000 - $77,500 - $93,000 Annual
