We are looking for an organized and detail-oriented Accounting Specialist to join our dynamic team in Carmel, California. In this role, you will be responsible for supporting the daily operations of our accounting department, ensuring accurate and efficient processing of financial transactions across multiple business entities. This position offers the opportunity to contribute to a variety of accounting functions, including accounts payable, receivable, and payment reconciliation.

Responsibilities:

Monitor shared accounting inboxes and other channels to track incoming invoices, payment requests, and related documentation.

Review vendor invoices for completeness and ensure all required details, such as property, entity, and department information, are included.

Coordinate invoice approval workflows by routing invoices to the appropriate departments and following up on outstanding approvals.

Enter vendor invoices into the accounting system, ensuring proper coding for properties, accounts, and departments.

Assist with preparing and processing vendor payments, including checks and electronic transactions, while resolving any discrepancies.

Post tenant and owner payments into the system, maintaining accurate records and supporting documentation.

Prepare and distribute disbursements to owners and tenants, including checks and electronic confirmations.

Reconcile credit card statements by matching receipts to monthly reports and ensuring reimbursement documentation is complete.

Follow up with employees or departments regarding missing receipts or incomplete expense documentation.

Maintain organized records of all payment workflows and escalate delays or issues as needed.

Requirements - At least 1 year of experience in accounting or a related field.

Proficiency in accounts payable (AP) and accounts receivable (AR) processes.

Working knowledge of QuickBooks and other accounting software.

Strong data-entry skills with high attention to detail and accuracy.

Ability to process invoices and payments efficiently while ensuring proper coding.

Familiarity with credit card reconciliation and expense documentation.

Effective communication skills to coordinate workflows and resolve discrepancies.

Organizational skills to manage multiple tasks and maintain accurate records across various entities.
