The Entertainment Project Coordinator role leads efforts to integrate work across all Disney Live Entertainment teams. This role will ensure streamlined communication and process workflows through all project phases from creative development into design and production, and installation and delivery. This position provides overall integration and project leadership supporting the overall project team and provides clear communication regarding timelines and action items. The coordinator must consistently maintain a bottom-up, broad perspective across all teams to ensure that all aspects of the work are covered, and no efforts are duplicated.
If selected for this role, you will report to the Executive Entertainment Technical.
This is a Project Hire/Internal Assignment position without any guarantee of permanent placement.
What You Will Do
Coordinate and integrate project information with internal and external organizations including project team, creative and design studios, operations, municipalities, vendors, and contractors
Supervise meetings and other communications and provide updates as vital to ensure accurate integration and to resolve issues in a timely manner
Own responsibility for development and documentation of scope lists, Project Strategies, deliverables matrices, etc. across various teams
With the Technical Directors, provide regular communication ensuring integration of personnel, project schedules, teams for the project
Compile, validate, and reconcile project information and project documentation in appropriate file management system
Facilitate team discussions (brainstorming sessions, creative development sessions, design reviews, peer review sessions etc.) to align scope with budget
Prepare and participate in presentations to executive management regarding project status and requirements, using judgement and discretion to drive content
Keep all project update tools in sync and up to date such as dashboards, online forms, and project status notes
Assist in the process of hiring outside vendors and the professional bid package preparation with Project Team and Sourcing and Procurement
Maintain and update project travel log, travel authorizations, travel communication and itineraries
Assist in design reviews including auditing of past resolutions and compilation of team comments
Support proof of concept and mockup efforts for technical project elements
Required Qualifications & Skills
2+ years related experience - leadership experience, film/theater production, immersive experiences, or other Disney/Themed Entertainment projects (Internships will be considered)
Highly organized self-starter with excellent verbal and written communications skills
Strong interpersonal skills and the ability to deliver under tight turnarounds
Willingness to learn about technological trends that arise in the evolving Live Entertainment and Immersive Experience landscape
Ability to give and take direction, adapt to change, establish relationships and work in a team environment
Ability to work through issues and guide team members with problem-solving
Ability to maintain excellent client relationship skills and interpersonal skills
Proficient in the Microsoft Office Suite (Outlook, PowerPoint, Excel)
Must be available and willing to work occasional extended hours as needed, including weekends and holidays
Preferred Qualifications
Knowledge of Adobe Creative Suite products like Photoshop, InDesign, Illustrator is a plus
Knowledge of AutoCAD, Revit, and/or other Computer Aided Design/Drafting Software
Knowledge and a strong curiosity about the Live Entertainment and/or Theater, Themed Entertainment, and Immersive Experiences
Experience in Technical Direction, Audio, Lighting, Video, Or Show Control
Ability to read design drawings
Education
Bachelor's degree in Theater, Film, Design, or other Entertainment or Development-related field is preferred

The hiring range for this position in Glendale, CA is $54,000 to $72,300 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
