The Board of Mahoning County Commissioners is seeking to hire a Contracts and Administrative Assistant.

The Contracts and Administrative Assistant reporting directly to the Director of JFS and supporting its senior management team, provides high-level administrative support and efficient office operations, while managing government contract administration, ensuring compliance with applicable laws, regulations, and organizational policies.

This hybrid role requires discretion, organizational excellence, and expertise in government / public sector contracting and administrative procedures that achieve organizational objectives and effectiveness.

Key Responsibilities:

Provide day-to-day support for the Director and administrative staff, including calendar management, scheduling meetings, and handling correspondence.

Prepare reports, memoranda, presentations, and other official documents.

Screen and respond to phone calls, emails, and inquiries, ensuring effective communication with staff, officials, and the public.

Attend meetings, take minutes, and monitor follow-up actions.

Maintain filing systems, both electronic and physical, with attention to confidentiality.

Coordinate logistics for events, conferences, and special projects.

Draft, review, and execute contracts, including procurement, subcontracting, and vendor agreements.

Track contract compliance, renewal schedules, and monitor performance to ensure obligations are met.

Coordinate with legal, finance, and project teams to support contract negotiations, amendments, and dispute resolution.

Prepare reports related to contract status, financial tracking, and project metrics.

Maintain organized contract records and databases, ensuring accessibility and accuracy.

Ensure contracts adhere to federal, state, and local laws, as well as organizational policies.
