Description We are looking for a skilled Administrative Assistant to join our team in Pomona, California. This Contract to permanent position offers an excellent opportunity to provide organizational and financial support in a dynamic and detail-oriented environment. The ideal candidate will possess a blend of administrative expertise, attention to detail, and adaptability to ensure smooth daily operations.

Responsibilities:

Manage scheduling and calendar coordination for leadership, ensuring timely communication and efficient planning.

Provide administrative assistance, including documentation, correspondence, and organizing internal communications.

Support accounts receivable processes by tracking payments, following up on invoices, and maintaining accurate financial records.

Facilitate general office operations to promote an organized and service-oriented environment.

Answer inbound calls and address inquiries with professionalism while providing exceptional customer service.

Perform data entry tasks with precision to maintain accurate and up-to-date records.

Uphold confidentiality and accuracy in all administrative and financial tasks.

Assist with receptionist duties such as greeting visitors and managing front-desk operations.

Collaborate with team members to identify and implement process improvements. Requirements - Proven experience in administrative support roles, preferably in a fast-paced setting.

Familiarity with accounts receivable processes and basic financial tracking.

Exceptional communication skills, both written and verbal, with a detail-oriented approach.

Strong organizational abilities and the capability to multitask effectively.

High attention to detail and accuracy in all tasks performed.

Proficiency in data entry and office management software.

Ability to adapt quickly to changing priorities and maintain a positive attitude.
