JOB REQUIREMENTS: Join the City of Wausau\'s Public Works team and play a key role in keeping our community running smoothly. As an Administrative Assistant II in the Streets and Maintenance Division, you\'ll provide high-level administrative and operational support while serving as a primary point of contact for residents, employees, and partner agencies. This is a dynamic role where no two days are the sameyou\'ll help coordinate services, respond to community questions and concerns, support financial and administrative processes, and ensure the division operates efficiently. Serve as a key point of contact for residents, employees, and agencies by responding to questions, service requests, and concerns related to public works services (such as potholes, snow removal, and refuse collection) 2. Provide high-level administrative support to division leadership, helping coordinate communications, schedules, and daily operations 3. Track and organize service requests, work orders, and communications from departments, elected officials, and the public Support payroll, budgeting, and financial tracking activities, including data entry, cost tracking, and reporting 5. Perform accounting and bookkeeping tasks such as processing invoices, managing accounts payable/receivable, and handling internal billing 6. Assist with purchasing and procurement processes, including quotes, bids, vendor coordination, and contract tracking 7. Maintain accurate records and ensure compliance with local, state, and federal requirements 8. Prepare and distribute communications such as newsletters, notifications, and public information materials 9. Help improve office processes and workflows to increase efficiency and organization 10. Support operational coordination activities including scheduling, employee communications, onboarding logistics, and special events 11. Handle sensitive and confidential information with professionalism and discretion ** OTHER EXPERIENCE AND QUALIFICATIONS: Three (3) or more years of progressively responsible administrative experience Ideal candidates will also demonstrate: - Strong organizational skills and attention to detail - Excellent customer service and communication skills - Ability to manage multiple priorities in a fast-paced environment - Experience with financial or administrative processes (payroll, budgeting, invoicing, etc.) - Proficiency with Microsoft Office and the ability to learn new systems quickly - Sound judgment and the ability to handle confidential information appropriately ** APPLICATION INSTRUCTIONS: Apply Online: www.governmentjobs.com/careers/wausauwi/
