Description We are looking for a dedicated Administrative Assistant to join our team in Racine, Wisconsin. This Contract to permanent position offers the opportunity to work closely with senior leadership, providing high-level administrative support to ensure smooth organizational operations. The role requires excellent communication, multitasking, and organizational skills to support both internal processes and external community engagement.

Responsibilities:

Prepare and edit various forms of correspondence, reports, newsletters, and meeting agendas with accuracy and attention to detail.

Manage schedules, meeting requests, and travel arrangements for senior leadership, ensuring seamless coordination.

Process invoices, purchase orders, and budgets, maintaining compliance with organizational financial policies.

Coordinate vendor communications, including obtaining required documentation and tracking deliveries.

Support hosted meetings through organizational preparation, hospitality management, and logistical coordination.

Attend and document minutes for Board of Directors and Operations Committee meetings, driving online agendas when necessary.

Maintain organized and up-to-date files, mailing lists, and office supplies to ensure operational efficiency.

Respond promptly to office correspondence and inquiries, demonstrating professionalism and knowledge of organizational programs.

Facilitate events and special projects as directed by senior leadership, ensuring successful execution.

Operate office equipment such as printers, copiers, and shredders, and oversee basic office upkeep and cleanliness. Requirements - Minimum of 2 years of experience in administrative support roles.

Strong written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.

Proficiency in managing budgets, invoices, and purchase orders.

Demonstrated ability to multitask and prioritize tasks in a fast-paced environment.

Skilled in using office equipment and technology, including computers and printers.

Experience in coordinating meetings, agendas, and travel arrangements.

High level of discretion and sound judgment with attention to detail when handling sensitive information.
