Primary Purpose of Position:
The Marketing Support Specialist provides administrative support to the Marketing and Leasing departments with a primary focus on Marketing. Areas of focus within Marketing include advertising, sponsorship, special events, and community relations initiatives. Areas of focus within Leasing include tour preparation and client relations activities.
Essential Functions - Marketing & Leasing:
Provide general administrative support to include answering telephones, scanning, typing, meeting scheduling, and responding to internal and external requesters.
Provide full travel coordination for Vice President, Marketing and all members of the regional Leasing team.
Maintain all team files (electronic and hard copies).
Manage invoices, track expenses, process credit card statements and employee reimbursements; create purchase orders and work orders.
Manage License Agreements and ensure compliance with legal and insurance requirements.
Ensure Certificate of Insurance files are compliant for vendors.
Essential Functions - Marketing:
Manage and prioritize the team's shared email inbox, respond to external inquiries and direct requests to the appropriate team members; support the upkeep and coordination of the marketing events calendar.
Help maintain and update marketing promotional materials and collateral.
Conduct site visits and participate in event execution, including staffing load-ins, check-ins, and monitoring breakdown
Coordinate logistics and assist in event planning and execution as assigned, including liaising with caterers, arranging retailer participation, coordinating vendors, and staffing.
Coordinate signage program within properties with Marketing Manager(s) and Marketing Coordinator(s).
Coordinate sponsorship outreach and prospecting, including researching and obtaining contact info, and cold calling leads.
Oversee the scheduling of all Captivate advertisements uploaded to elevator screens located throughout regional properties.
Keep inventory and order branded Company merchandise.
Serve as backup for all conference center duties at Reston Town Center.
Essential Functions - Leasing:
Provide full calendar support for EVP, Co-Head of the Washington DC Region (Leasing department head).
Plan and execute bi-weekly department meetings: send calendar invites, create agenda, and present on various administrative related topics.
C oordinate tour preparation for prospective tenants as directed by the Leasing team, including arranging access with existing tenants, ordering food and client gifts, and assisting with inspecting/prepping vacant spaces at Reston Town Center prior to tours as feasible.
Non-Essential Functions:
Perform other duties as assigned.
Special projects or assignments as requested by Marketing and Leasing departments.
Requirements and Qualifications:
A high school diploma or equivalent educational certification required. A BA/BS is strongly preferred.
A minimum of 2+ years prior administrative experience required. Previous marketing experience is highly desirable.
Excellent oral and written communication skills.
Ability to work under pressure in a fast-paced environment.
Ability to work independently, as well as part of a team.
Ability to effectively interface with all departments of the Company and to represent the Company in a highly professional manner.
Excellent attention to detail.
Ability to take initiative with projects and tasks.
Flexibility with work schedule to include working overtime on a periodic basis, as work on nights and weekends is required when marketing events are occurring or require preparation.
Strong organizational and multitasking skills, with proven ability to manage multiple projects simultaneously while consistently meeting deadlines.
Knowledge of basic web design, graphic design, and desktop publishing programs preferred.
Proficiency in Office Suite
Physical Requirements:
Involves work of a general office nature usually performed sitting - such as operation of a computer.
Involves work of a general office nature, usually standing such as operation of a printer, scanner and copier.
Involves movement between departments and throughout properties to facilitate work.
Involves movement between properties to facilitate regional events.
Internal and External Contacts:
This position interacts with all levels of employees within BXP and with retail tenant managers, outside vendors, event production staff, and the public.
Reporting Structure:
This position reports directly to the Vice President, Marketing who provides primary supervision and guidance, and evaluates work performance on a periodic basis.
The position will also receive secondary supervision and direction from the EVP, Co-Head of the Washington DC Region.
Salary Range:
$63,300 - $82,000. BXP offers a competitive total rewards package including base salary and annual discretionary bonus.
