As an Administrative Assistant at Center of Heart, you'll provide crucial support to the team by managing schedules, coordinating meetings, handling correspondence, maintaining records, and ensuring the smooth operation of the office, all while maintaining a professional and organized environment.

Core Responsibilities: Contract Management Scheduling and Coordination: Manage calendars, schedule meetings, and book travel arrangements. Prepare agendas and meeting materials. Coordinate events and conferences. Communication and Correspondence: Answer phones, take messages, and route calls professionally. Draft and edit emails, letters, and other correspondence. Prepare and distribute reports, presentations, and other documents. Record Keeping and Filing: Maintain accurate and organized files, both physical and digital. Update and manage databases and spreadsheets. Ensure compliance with record-keeping policies. General Office Support: Order office supplies and manage inventory. Greet visitors and provide general office assistance. Handle incoming and outgoing mail and faxes. Perform basic bookkeeping tasks.

Other Duties: Assist with special projects as needed.

Skills and Qualifications: Strong organizational skills and attention to detail Excellent communication and interpersonal skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Ability to prioritize tasks and manage time effectively Ability to work independently and as part of a team High school diploma or equivalent; some college or vocational training preferred
