Job Purpose / Summary:
The marketing Administrative Assistant will perform a variety of operational duties as they relate to the department of marketing and will report to the VP of Operations. This position will perform general clerical duties including answering phones, entering information into spreadsheets, entering information into Yardi and SiteCompli, neighbor communications, and other duties as required.
Essential Role and Responsibilities:
Input of potential resident housing application information in Yardi
Auditing of monthly deposits
Updating and maintaining the move-in schedule pertaining to property management that is monitored by Shinda Management Corporation
Scheduling appointments for property management team
Updating and maintaining tenant information (current phone numbers and emails, emergency contacts, etc.).
Maintaining proper security of sensitive paperwork and conversations
Manage delinquents and communications to tenants
Responsible for front office reception including: greeting guests, answering phones, handling company inquiries, sorting and distributing mail
Assemble and administer Move In Packets for new tenants
Assist in the recordkeeping of healthy living inspections and documentation of incidents
Assist in the goal of tenants feeling valued and cared for
Keep Property Management issues extremely confidential
Attend regularly scheduled staff and meetings
Assist Property Management leadership as needed
Bilingual (Spanish) preferred
Position Requirements
Job Requirements
High School diploma or equivalent
At least two years of administrative experience
Computer Skills: Proficiency in Microsoft Excel & Word, Experience in YARDI preferred
