Work involves coordinating the dissemination of information, developing and maintaining filing systems, and performing and coordinating administrative support work. Reports to the Director of the Program Administration and Reporting (PAR) Division.ESSENTIAL JOB FUNCTIONSOversees and maintains the Program Administration and Reporting (PAR) - Outreach Team's inventory of marketing materials, including tracking quantities and ensuring adequate stock levels to support program outreach efforts.
Supports and coordinates development of marketing materials promoting the agencyand#8217;s financial assistance programs.
Assists with the development of the Outreach Plans and Reports prepared annually.
Handles and processes travel documents for the Outreach Team staff members.
Performs a wide range of complex administrative and operational support functions, including scheduling and prioritizing meetings.
Coordinates and prepare travel authorizations and vouchers within PAR.
Ensures accurate and timely processing of travel accommodations, expenditure requests, and Public Information Requests, enabling team members to efficiently review and provide the required information.
Receives, processes, facilitates, and disseminates information between the division and other business areas within the agency, Board members, TWDB customers, and the public.
Prepares, proofs, formats, edits, and distributes a variety of routine and complex correspondence, reports, memorandums, forms, and departmental publications to ensure accuracy and consistency of work across the division.
May process and perform data entry for facilitated meetings hosted by Outreach Team staff.

Assists the PAR Executive Assistant with duties as designated by the Director of PAR.
Maintains and establishes records, filing systems, and logs.
Opens, sorts, and distributes agency correspondence.
Provides rotating coverage and support for the agencyand#8217;s main telephone line.
Answers, screens, and routes incoming phone calls and messages to the appropriate staff and directs visitors to the correct location.
Provides telephone and administrative back-up support when necessary.
Promotes an environment that encourages teamwork, accountability, professional development, and improvement in performance.
Enters and maintains accurate data and information in the agencyand#8217;s database.
Maintain knowledge by attending professional and technical educational seminars, workshops, and mandatory training courses.
Maintains confidential and sensitive information.
Ensures individual and team files (electronic and hard versions) are appropriately maintained and timely disposed of in accordance with the agencyand#8217;s records retention procedures and schedule.
Maintains required certifications and licenses and meets the continuing education needs and requirements of the position to include, attending mandatory training courses.

Qualifications: MINIMUM QUALIFICATIONS Graduation from a standard senior high school or equivalent.
Work Experience:Administrative Assistant I: One year of relevant work experience in a fast-paced office environment providing administrative or clerical support.
Administrative Assistant II: Two years of relevant work experience in a fast-paced office environment providing administrative or clerical support and managing office correspondence.
Administrative Assistant III: Three years of relevant, progressive work experience in a fast-paced office environment providing administrative or clerical support, managing office correspondence, and tracking multiple tasks and deadlines.
Additional education may be substituted for experience on a year-for-year basis.PREFERRED QUALIFICATIONSGraduation from an accredited four-year college or university with a bachelorand#8217;s degree in Business Administration or a related field.
Previous experience providing administrative support to a financial, legal, engineering, or natural resources area.
Experience managing calendars, scheduling, and arranging travel.
Experience supporting senior management or department heads.
Previous work experience in State or Federal government. KNOWLEDGE, SKILLS, AND ABILITIESKnowledge of local, state, and federal laws and regulations relevant to Program Administration and Reporting (PAR) Division.
Knowledge of the principles and practices of public administration.
Knowledge of complex office practices and administrative procedures, including record keeping and records management, telephone techniques, and report writing.
