SUMMARY: This position supports the Accounts Receivable department by assisting with invoicing, payment processing, and AR system functions for remote terminal employees. Key responsibilities include managing cardlock transactions, creating and maintaining fuel cards, and providing backup support to the credit and collections functions. The role also oversees customer onboarding for the online payment portal, supports annual audit activities, and handles daily mail processing and occasional phone coverage. Additional duties may be assigned by the AR Manager or Controller.
DUTIES AND RESPONSIBILITIES
Accounts Receivable Support Assists the AR Manager with AR systems, invoicing, and payment processing for terminal employees working remotely throughout the state.
Cardlock Processing Runs cardlock reports twice weekly; updates pricing from station managers; maintains the cardlock transaction spreadsheet; and enters gallons or transaction data.
Month-End Cardlock Processes month-end cardlock transactions, obtains pricing confirmation from station managers, reviews the pre-invoice journal, and posts final transactions.
Card Creation and Maintenance Creates and prints new cards; mails cards to local offices; adds new cards to TripleE and PRx systems; deactivates cards for closed accounts or lost/broken cards as needed.
Credit Department Backup Pulls personal and business credit reports, prepares credit files for review, and assists the Credit Analyst or AR Manager. Creates new customer accounts as required.
Collections Support Assists with collection-related tasks on an as-needed basis.
Customer Portal Management Helps customers set up profiles in the online payment portal, creates usernames and passwords, and provides ongoing customer support for portal-related questions.
Audit Support Assists with the annual financial audit by gathering supporting documentation and preparing various reconciliations.
Daily Mail Processing Prints postage, performs post office runs, and handles sorting, scanning, and distributing incoming mail to appropriate recipients.
Phone Coverage Provides backup coverage for the Anchorage main phone lines during the Admin Secretarys lunches and days off, as needed.
Other Duties as Assigned Performs additional work-related tasks as assigned by the AR Manager or Controller.
KNOWLEDGE, SKILLS, AND ABILITIES
Requires thorough understanding of Microsoft Office Suite programs.
Must have excellent communication skills and be effective in oral and written communication.
The ability to work independently with minimal oversight to complete assigned duties by target deadlines.
QUALIFICATIONS
Strong administrative experience with demonstrated proficiency in communication orientated tasks and proven record of consistently providing quality customer service.
Prefer candidates with accounting or finance experience, however we can provide the right candidate with on-the-job experience.

Ability to read, analyze, and interpret technical regulatory compliance documents. Ability to respond to common inquiries or complaints from employees, customers, or regulatory agencies. Ability to write and effectively communicate utilizing e-mail. Ability to communicate effectively with all employees and facilitate problem resolutions.
PHYSICAL DEMANDS
Individual may need to sit or stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to move hardware. Proper lifting techniques required. Must be able to occasionally lift 25 lbs.
WORK ENVIRONMENT
For the most part, exposure is ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
