Description

We are looking for a detail-oriented and proactive Administrative Assistant to join our team in West Lawn, Pennsylvania. This Contract to permanent position is ideal for someone who thrives in a fast-paced environment and excels at organizational tasks. The role will involve supporting project operations through administrative responsibilities and coordination efforts.

Responsibilities:

Perform general office duties, including filing, scheduling appointments, photocopying, faxing, and managing correspondence and mail.

Organize and maintain up-to-date office records to ensure accessibility and compliance with company standards.

Draft, edit, and update various documents such as meeting minutes, proposals, quotes, sales reports, and business correspondence.

Support payroll processing by collecting and verifying employee time records, submitting data for payroll, and ensuring accuracy before check distribution.

Prepare service proposals and assist the branch manager with required documentation.

Print, compile, and coordinate bid documents to ensure accuracy and timely submission.

Conduct background checks and support project requirements as needed.

Gather, review, and process contract data and related documentation.

Manage document control processes to maintain accurate records and ensure timely collection of subcontractor bids.

Requirements - Proven ability to manage timelines and prioritize tasks effectively.

Experience working on construction-related projects or similar environments.

Proficiency in master scheduling and coordination.

Familiarity with document scanning and digital file management.

Strong skills in document control and organization.

Previous experience performing clerical duties in an office setting.

Knowledge of subcontractor bid processes and requirements.
