DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS:

The City of Houston is seeking a dedicated and organized Customer Service Representative I (CSR I) to join our Records Management team. The CSR I will play a crucial role in providing exceptional customer service while assisting in the management of public records. This entry-level position will encompass a variety of tasks related to records management, imaging, and technical program use.
The Customer Service Representative I duties will include but are not limited to:
Respond to public inquiries regarding records management policies and procedures.
Assist in the completion of multi-step public records requests, ensuring compliance with relevant guidelines.
Use imaging software to digitize physical records, ensuring accurate and efficient storage.
Maintain and update electronic records and databases, ensuring information is current and accessible.
Collaborate with team members to ensure records are organized and easily retrievable.
Provide technical assistance to users of records management software and programs.
Participate in training sessions to stay informed about updates in records management practices and technology.
Perform routine data entry and quality control checks to maintain data integrity.
Assist in preparing reports related to records requests and management activities.
Demonstrate a commitment to exceptional customer service by addressing inquiries in a timely and professional manner.
WORKING CONDITIONS
This position may require standing for extended periods, as well as occasional lifting of materials. The CSR I will work in an office environment and may be required to interact with the public.
This is a Department of Public Works & Engineering Emergency Management position at the Tier III Level.
MINIMUM REQUIREMENTS
EDUCATIONAL REQUIREMENTS:
Requires a high school diploma or a GED.
EXPERIENCE REQUIREMENTS:
Six (6) months of administrative or customer service-related experience is required.
Substitution: Associate degree may be substituted for the experience requirement.
LICENSE REQUIREMENTS:
None
PREFERENCES
Preference will be given to candidates with
Previous experience in customer service, records management, or administrative support.
Proficiency in computer applications, including Microsoft Office Suite and records management software.
Excellent communication skills, both verbal and written.
Strong attention to detail and organizational skills.
Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
