Under limited supervision, the Business Operations Support Specialist provides advanced organizational, administrative, and basic security support within DEED's central office. The position supports day-to-day business operations and office management functions, applying specialized knowledge of program processes, policies, and procedures.
As a central point of communication for the agency, this role facilitates information flow among leadership, employees, visitors, vendors, and other customers, and performs a wide range of organizational, operational, administrative, and building access-related responsibilities for the division and other program areas.
Work assignments vary from well-defined tasks to complex projects requiring analysis and creative problem-solving to ensure consistency with division standards. The position also contributes to improving work processes, streamlining workflows, enhancing communication, and ensuring overall operational efficiency.
Customer service, accuracy, situational awareness, and the ability to support a safe and secure office environment are critical performance expectations for this role.
This position will be based out of the St. Paul office. This posting may be used to fill multiple positions.
Minimum Qualifications

One (1) year* of experience providing customer service, communicating with customers and staff, and performing advanced organizational and administrative work, including responsibilities in environments requiring security awareness or controlled-access procedures.
Applicants that meet the above minimum qualification will be further evaluated on the following:
Skill in interpersonal communication sufficient to provide courteous and accurate information, convey details professionally, and prepare clear incident reports and log documentation.
Ability to organize, prioritize, and complete work accurately while managing multiple deadlines, identifying problems, and evaluating effective solutions.
Experience in document and records management, including maintaining electronic and paper files in compliance with state and federal retention requirements.
Skill in Microsoft Office Suites (Outlook, Word, Excel, Teams, PowerPoint, SharePoint) or similar software.
Knowledge of building security and safety operations, including security cameras, electronic access systems, emergency preparedness, and incident-response procedures.
Ability to follow instructions, respond quickly and appropriately during emergencies, enforce security protocols, de-escalate difficult situations, and apply state data-privacy and workplace security policies.
Preferred Qualifications
Bachelor's degree in business, financial management, project management, security management, criminal justice, public safety, or a related field.
Experience using Minnesota Administrative Systems such as SWIFT, EIOR, and SEMA4 for procurement and business operations.
Experience in security-focused or controlled-access environments, including incident response, coordination with law enforcement or facilities teams, emergency drills, and customer-facing reception or security roles.
Experience with audio-visual equipment sufficient to provide troubleshooting and training for in-person and virtual events.
Experience working effectively with individuals from diverse backgrounds, demonstrating cultural responsiveness in day-to-day interactions.
