Description We are looking for an experienced Administrative Assistant to join our team in Malibu, California, within the dynamic environment of a university setting. This Contract to permanent position offers an excellent opportunity to contribute to the smooth functioning of departmental operations while ensuring a high standard of organization and efficiency. The ideal candidate will have over two years of experience in administrative support and possess strong organizational and communication skills.

Responsibilities:

Handle departmental mail, including preliminary notices, and manage document scanning and filing processes.

Monitor shared department inboxes, respond to inquiries, and direct them to the appropriate staff.

Maintain office organization by managing inventory, restocking supplies for the office, kitchen, and conference rooms.

Coordinate printing and plotter requests through external vendors to ensure timely delivery.

Manage room reservations using 25Live and prepare conference room schedules efficiently.

Track and order office supplies to ensure availability for daily operations.

Oversee the maintenance and servicing of company vehicles, including fueling and inspections.

Maintain kitchen facilities and ensure the cleanliness and organization of office spaces.

Supervise e-waste disposal and monitor equipment inventory to keep records up-to-date. Requirements - Minimum of two years of experience in administrative support roles.

Proficiency in data entry and managing administrative tasks with accuracy.

Strong ability to handle inbound calls and deliver attentive receptionist services.

Experience in organizing and maintaining office supplies and facilities.

Familiarity with scheduling tools, such as 25Live, is preferred.

Excellent communication skills to manage inquiries and coordinate with vendors.

Ability to multitask and prioritize duties effectively in a fast-paced environment.
