Overview
GovCIO is currently hiring for an onsite Administrative Specialist for our Kansas City, MO facility. This role focuses on precision and operational support, with roughly half of the work dedicated to error-free indexing and entry of federal tax return data and the remainder spent assisting with key administrative tasks such as onboarding, offboarding, and daily site operations. Working closely with site leadership, you'll gain broad training across all operational areas and valuable exposure to federal contract environments. Responsibilities
Tax Document Indexing & Data Entry
Accurately index, enter, and verify federal tax return data into designated systems and databases
Cross-check entries to ensure 100% quality and data integrity
Organize and file incoming documentation digitally and physically
Safeguard all data in strict compliance with federal privacy regulations
Administrative Support
Provide direct support to the Site Lead and management team
Prepare correspondence, reports, and presentations
Manage calendars and coordinate meeting scheduling
Screen, direct and escort visitors appropriately
Maintain organized electronic and physical filing systems
Process incoming and outgoing mail and packages
Serve as a point of contact for internal and external communications
Records Management & Reporting
Maintain data in tracking systems and databases
Generate regular and ad-hoc reports as requested
Support inventory tracking using Total Recall Records Management Software
Maintain employee records and training documentation
Colleague Onboarding & Offboarding
Prepare welcome packets and coordinate new hire paperwork
Create and manage tickets to track onboarding and offboarding activities
Coordinate badge and access requests
Process offboarding documentation and system access removal
Operations Support
Coordinate with warehouse and production teams on administrative needs
Assist with preparation for audits, assessments, and inspections
Maintain standard operating procedure (SOP) documentation
Process Improvement & Cross-Functional Flexibility
Identify inefficiencies and recommend solutions
Apply cross-functional training to support wherever the greatest need exists
Qualifications
Qualifications
2-5+ years of administrative or clerical experience, ideally combining data entry, HR support, and/or compliance-related work
Demonstrated accuracy in high-volume data entry involving tax, payroll, or financial documents
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Microsoft Access or similar database applications
Familiarity with HRIS platforms or records management software is a plus
Strong written and verbal communication skills
Excellent organizational skills and the ability to manage competing priorities without losing accuracy
Discretion and integrity when handling confidential or sensitive information
Self-directed work ethic with the ability to perform consistently with minimal supervision
High school diploma or equivalent required; college degree or equivalent experience preferred
Requirements & Work Environment
Must pass a federal background investigation and obtain/maintain a Suitability/Public Trust clearance
Full-time, on-site presence required at GovCIO's Subtropolis facility in Kansas City, MO
Production environment with repetitive hand movements
Occasional lifting of materials up to 25 lbs
Moderate noise level due to scanner operation, printers, and warehouse equipment

Posted Pay Range
The posted pay range, if referenced, reflects the range expected for this position at the commencement of employment, however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, education, experience, and internal equity. The total compensation package for this position may also include other compensation elements, to be discussed during the hiring process. If hired, employee will be in an "at-will position" and the GovCIO reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, GovCIO or individual department/team performance, and market factors.

USD $22.00 - USD $24.00 /Hr.
