As a contract Administrative Assistant with our organization, you will have the opportunity to make a meaningful impact by supporting our mission and directly contributing to the well-being of our community. Key Responsibilities:

Manage the organization's general inbox, ensuring timely and professional responses and prioritization of emails.

Draft, format, and send out internal and external communications, including newsletters, donor updates, and event reminders.

Support scheduling for meetings, workshops, and events; coordinate room bookings and virtual meeting links.

Maintain and update digital and paper filing systems to ensure records are current and accessible.

Prepare regular reports and tracking documents in Excel, leveraging functions and templates for data analysis and presentations.

Enter and update information in databases, such as donor management and volunteer scheduling systems.

Greet guests, answer incoming phone calls, and provide information or connect callers with appropriate staff members.

Order office supplies and manage inventory to ensure smooth day-to-day operations.

Support other project-based and administrative duties as assigned.

Requirements

Qualifications:

1-2 years of administrative experience, ideally in the nonprofit sector or similar fast-paced environments.

Associate's degree or higher required.

Proficient in Microsoft Excel (data entry, formulas, basic reporting).

Experience managing a shared inbox and prioritizing communications.

Strong written and verbal communication skills.

Familiarity with basic analytics tools and/or customer relationship management (CRM) systems is a plus.

Demonstrated ability to navigate timekeeping or HR information systems.

Exceptional soft skills: approachable, empathetic, collaborative, adaptable, and solution oriented.

Excellent organizational skills with attention to detail.

Proven ability to handle sensitive/confidential information with discretion.

Ability to multitask and prioritize in a dynamic, mission-driven setting.
