Job Summary and Qualifications
The Office Coordinator manages a variety of front office functions and is key to the smooth operations of Center for Blood Cancer Services. The Coordinator assists with the coordination of continuum of care for patients as they move through the transplant process under the guidance of the transplant team.
What you will do in this role:
Essential duties: Administrative functions, Stellar customer service, Insurance verifications/approvals, Scheduling
Warmly greets patients and guests.
Answers busy switchboard and routes calls to appropriate staff.
Responsible for answering and scheduling of patients for appointments and procedures.
Responsible for maintaining and verifying patient demographics including insurance records.
Responsible for maintaining physician schedule to include clinic, surgical and administrative duties.
Responsible for ordering, inventorying, sorting and distribution of clinical/nonclinical supplies.
Perform clinical transportation support duties such as transporting patients and arranging patient transportation services as needed.
Provide support to clinical staff by order entry for patient testing, specimen transport, arranging consult patient appointments, report retrieval, and medical record retrieval.
Performs duties associated with verifying insurance plans, obtaining referral/pre-authorization numbers for patients and procedures/visits.
Schedules new and return patient visits. Coordinates MD schedules with TN ONC Aria schedule.
Schedules transplant patient evaluations including donors as identified by Transplant Coordinators.
Schedules post-transplant follow-up appointments/ visit
Assists referring physician offices, as needed, with identifying patient re-immunization due dates
Develops standard operating procedures for scheduling / insurance processes and ensures review, revisions, and compliance records are appropriately maintained.
Conducts routine office duties (i.e. open/closing office, securing records, arrange equipment service & general housekeeping)
Prepare patient charts. Enters daily charges. Work weekly & monthly reports.
What qualifications you will need:
High School diploma or GED
One or more years of medical office scheduling/management required
One or more years of insurance verification/certification processes/procedures required
Knowledge of medical terminology required
Oncology experience preferred
Ability to work in a fast paced environment, multi-task and with keen attention to detail
Excellent typing skills, proficient in Microsoft Office (Word, Excel, Outlook)
Organizational and time-management skills
Articulate communication skills both orally and written
Steller customer service with positive attitude and personality
Ability to work with others in a team environment
Basic Cardiac Life Support must be obtained within 30 days of employment start date
