What's the role?

We are looking for an Administrative Assistant to report to the Head of Bloomberg's Artificial Intelligence department based in New York. In this role, you are confident in handling a wide range of administrative and executive support-related tasks. You are used to maintaining effective lines of communication, keeping managers fully informed of all critical issues, and confident in making quick decisions and thinking on your feet. You are reliable, dedicated, proactive, organized, independent and very detail oriented. You feel comfortable communicating and interacting at senior levels, both internally and externally, and understand the need to uphold discretion in all matters.

We'll trust you to:

Provide administrative support, including calendar maintenance, travel arrangements, planning team dinners/lunches, expense filings, meeting minutes, and presentation prep

Assist the team on department wide placement process for interns, pre-trainees and entry level training class hires, documentation collection and position management in Workday/HIER, and partnering with stakeholders

Plan, organize, and participate in events such as Department Town Halls, tech talks, onboarding events, etc.

Take ownership of event logistics including, but not limited to scheduling, presentation deck assistance, recording of videos, and marketing via company and department communication channels

Manage desk moves for the department

Perform ad hoc reporting

Act as a Department Business Administrator of Roles (BAR) for pvf/role updates and recertifications

Complete tasks, assignments and projects in a timely manner. Work independently, prioritize critical tasks - often with little direct supervision

Develop relationships with key stakeholders across the organization; leverage resources and knowledge to operate effectively

Exercise professional demeanor and attitude. Uphold confidentiality with regards to the team, business and employees

You'll need to have:

4+ years of work experience in an administrator, coordinator or similar role

A Degree in Business Administration, Education, HR or other related field

Experience managing and prioritization of important tasks simultaneously

Ability to take a proactive approach in the role

Proficiency in Google Office Suite and Microsoft Office and collaborating with others using these tools

Proven experience with event planning tools such as EVWZ, RSRV, LIVE, BU, etc.

Willingness to learn additional software as needed such as Workday, BU, Zoom recording, etc.

Ability to work independently on initiatives

A keen eye for detail

Creative problem solving skills

We'd love to see:

Enthusiastic approach to improving process efficiency and/or enhancing the experience for our stakeholders

Advanced Microsoft Office/Google Office Suite experience including creating formulas and pivot tables in Excel/Sheets

Exceptional design and maintenance of Word/Docs/Slides

Salary Range = 85000 - 125000 USD Annually + Benefits + Bonus

The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
