Office of Enforcement - Orders Division
The Orders Division is responsible for inspecting oil and gas wells and the associated facilities to ensure compliance with the processing of Unit Termination applications, and the approval of Unit Survey Plats.
Additionally, the Division is responsible for implementing and administering the Oilfield Site Restoration Program as well as the Underwater Obstruction Removal Program.
LOCATION AND POSITION INFORMATION:
This Administrative Assistant 5 is located in the Orders Division within the Office of Enforcement (OENF) in Baton Rouge, LA. The Administrative Assistant 5 will exercise initiative and independent judgment in carrying out office management and administrative support duties with primary emphasis in aid of the Director of the Orders Division relieving them, as practical, to manage and achieve the goals and objectives of a major statewide oil and gas regulatory program.

Minimum Qualifications
Four years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
The position will require the individual to interpret various rules, policies and procedures specific to the Orders Division, and be knowledgeable of the policies and procedures of the Office. Additional duties include, but are not limited to the following:
Manages the receptionist desk, greets the general public, consultants, industry and other governmental agencies and directs them as appropriate.
Open mail, log in Fed-Ex, UPS and certified mail to appropriate sections in the Office of Conservation or other divisions in Natural Resources.
Receive, log, and oversee the proper distribution of all in-coming and out-going mail; prepares all items (correspondence and applications, etc.) for each division's review.
Receive and process live checks and fiscal checks per directed procedures and disperse to appropriate divisions. Use SONRIS accounting system to help with check identification.
Receives and processes original field orders, applications for substitute unit wells, downhole commingling, alternate unit well supplements, 29-E exceptions, reclassification supplements, enhanced recovery supplements, selective completions, and severance tax relief. Organizes and maintains associated files. Enters appropriate application fee information into SONRIS. Initiates the payment of newspaper proof of publication for substitute unit wells.
Serves as Primary Time Administrator for the Orders (Baton Rouge staff) Divisions. Audits time each payroll period. Assures time is allocated to the proper accounts. Flags and repairs time entry errors. Produces and secures sign off on pay period time summary reports.
Serves as support to the Department of Children and Family Services during times of emergency activation to assist with ESF-6 operations including, but not limited to, shelter operations, evacuee registration and tracking, and Disaster Food Stamp Program Operations and recovery operations including, but not limited to, providing support in disaster recovery centers and assisting with after-action assessment.
Performs related duties as required for the efficient operation of the Division and administrative support of Division Director.
