About the unit

The Med Surg Unit is a 29 bed unit with an attached 7 bed ICU. Adult patients have a variety of diagnosis. Most patients are medical cases. We also see surgical cases including bariatric, total joint, abdominal, podiatry, and more.

Scope of Work

The Administrative Secretary provides essential administrative support to the Nurse Manager, FBC, and Med-Surg leadership team, ensuring smooth daily operations through strong organizational skills, accurate scheduling management, and effective use of hospital technology systems. This role is responsible for maintaining and updating staff schedules, coordinating schedule changes, and processing timekeeping updates and payroll edits to support payroll accuracy.

The Administrative Secretary also assists with onboarding new employees by organizing orientation materials, coordinating orientation schedules, and tracking completion of required documentation. In addition, the role supports unit operations by managing administrative workflows, preparing basic reports or summaries as needed, maintaining files and supplies, and communicating professionally with clinical staff, visitors, and leadership. Success in this position requires excellent attention to detail, confidentiality, technological proficiency, and the ability to prioritize multiple tasks in a fast-paced healthcare environment.

Qualifications

Associate's degree or equivalent in office administration or secretarial science

2 years of relevant experience in secretarial or administrative support, clerical work, project management, public education, or program planning and implementation
