Job Title: Accounts Payable Specialist

Compensation: $23 - $25 hourly

About the Role:

Under the direct supervision of the Business Operations Manager, the Accounts Payable Specialist will support the Accounts Payable function with a primary focus on managing short-term vendor liabilities with accuracy, strong internal controls, and operational efficiency. This role is responsible for maintaining precise financial records, performing three-way matching, and ensuring timely and accurate vendor payments. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced onsite environment.

Key Responsibilities:

Perform three-way matching by verifying invoices against purchase orders and receiving documentation prior to payment to ensure accuracy and prevent discrepancies.

Accurately enter all incoming invoices into QuickBooks in a timely manner.

Record expenses using accrual accounting principles to maintain accurate financial reporting.

Reconcile Accounts Payable records with the general ledger and promptly resolve discrepancies.

Reconcile checks received and apply payments to the proper accounts.

Utilize paperless and automated workflows to reduce errors, streamline approvals, and maintain a clear audit trail.

Maintain accurate vendor profiles and documentation; meet with assigned vendors to review and update records as needed.

Build and maintain positive vendor relationships, negotiate favorable terms when appropriate, and secure early-payment discounts.

Support compliance and audit processes by maintaining organized financial documentation.

Qualifications and Skills:

Minimum of 2 years of Accounts Payable experience.

High school diploma required; some college coursework preferred.

Strong working knowledge of Microsoft Excel (advanced skills preferred) and Microsoft Word.

QuickBooks experience highly preferred.

Strong attention to detail, organizational skills, and accuracy.

Ability to think and work effectively under stress and in emergency situations.

Ability to understand and carry out oral and written instructions.

Professional communication skills with a friendly and clear phone presence.

CPR and First Aid Certification required within 30 days of employment.
