The Administrative Executive Assistant will report to the Vice President for Finance and Administration.
In addition to the CUNY title overview, duties include but are not limited to:
Supports senior executive with the operational and administrative duties related to the day-to-day operations of the department.
Prepares and delivers confidential reports and memoranda for Administrative Affairs.
Collaborates with multiple departments, CUNY, and external organizations on the behalf of the Vice President.
Manages Executive's communication, responding to public inquires within the Campus and University community.
Manages data input, coordination of reports and tracking of all invoices related to budgets that reside in Administrative Affairs; Ensures appropriate utilization of designated funds.
Works with appropriate offices related to personnel functions such as recruiting and interviewing.
Plan, organize and implement special events sponsored by Administrative Affairs.
Participates in the coordination of special projects and efforts to ensure the ongoing effectiveness of Administrative Affairs.
Serves as a liaison to coordinate and facilitate meetings, agenda, minutes, and other matters for governance bodies and related entities.
Ensures record management compliance for Administrative Affairs with the department heads; Trains and supervises clerical staff.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
CUNY TITLE OVERVIEW
Provides support to a Campus or University Executive, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events. Maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
Coordinates Executive communications, including those requiring a high degree of sensitivity. May respond to public inquiries as well as requests from within the Campus/University community.
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
Procures required internal and external resources and services and manages their utilization.
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

$76,937 - $86,741 - Salary commensurate with education and experience.
