Position Description:

Performs specialized clerical and secretarial duties in direct support of a Department Chair within the Health Science Center. Employees in this position are responsible for performing varied and complex office duties which require a thorough knowledge of departmental and institutional policies and procedures, as well as medical and scientific terminology. Employees in this classification may be responsible for supervising a small clerical unit. Work is performed under general office conditions requiring a high degree of telephone and personal contact with HSC faculty, staff, patients, and outside professionals. Work is also performed under pressure of deadlines, which may include frequent requests for urgent reports.

Major/Essential Functions:

Employee will be responsible for drafting and composing memos & correspondence for the review of the chairman.

Will work closely with the Department of Faculty Services to ensure a smooth process for all potential and incoming faculties to the Department.

Employee will make daily entries, changes & updates in Chairman's calendar.

Responsible for acting as the gatekeeper for Chairman by screening appointments, handling incoming calls, and for taking messages.

Employee will be responsible for preparation of faculty applications and processing of licensure for the Chair.

Will be responsible in tracking all credentialing applications and forwarding them to the credentialing department.

Responsible for typing memos, correspondence, reports, forms, and grants proposals for the Chair. Maintains an effective, organized and comprehensive filing system for assigned faculty.

Assist in maintaining accurate and current contract billing files.

Assists as needed by entering invoice information into spreadsheets or State systems for processing.

Employee in this position will prepare travel applications and handle vouchers & credit card charges as they apply to administrative functions for the Chair.

Maintain an effective filing system.

Review Tech Plan and inform the Credentialing department on Faculty that is pending enrollment.

Have an understanding of the documents required for providers to get credentialed and enrolled.

Communicate to administrations once a month on the enrollment and or credentialing status on each provider.

Remain current with all licensure, certifications, and mandatory compliance and training requirements for this position.

Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSECEP OPs, etc.).

Personally demonstrate, display and act in accordance with TTUHSC EP's Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork).

Serve as a Value's leader while actively promoting and encouraging staff across the institution.

Perform all other duties as assigned.

Pay Statement:

Compensation is commensurate upon the qualifications of the individual selected and budgetary guidelines of the hiring department, as well as, the institutional pay plan. For additional information, please reference the institutional pay plan on the Human Resources webpage.

Required Qualifications:

High school diploma or GED.

At least twelve (12) months experience as a Senior Medical Secretary at TTUHSC; OR

Five (5) years experience in a progressively responsible secretarial position with three (3) years in a medical or scientific setting.
