GENERAL DESCRIPTION:
Under the guidance of a supervisor, this position provides comprehensive administrative and program support to ensure efficient division operations and responsive customer service. The role assists with preparing and managing incoming and outgoing correspondence and performs a wide range of moderate to complex operational duties.
Responsibilities include scanning and indexing documents, supporting child support processes, processing faxes, and managing all Unemployment Insurance (UI) Benefits mail. The position processes incoming continued claims, sets applicable issues, codes and updates returned mail, and maintains accurate records.
The incumbent responds verbally and in writing to requests for information, assists claimants and other external customers, and provides a variety of administrative support services such as claimant verifications, drafting memos, mailing checks, and retrieving patch sheets from scanned documents.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while delivering professional service to both internal and external stakeholders.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level.
Work with the supervisor on correspondence in and out of the division.
Performs or leads a wide variety of moderate to complex program and operational support duties, including scanning/indexing, child support, and processing faxes.
Responds verbally and/or in writing to requests for information.
Field any other outside customers as needed.
Provides a wide variety of administrative duties for internal and external customers, including claimant verifications, memos, check mailing, and pulling patch sheets from scanned documents.
Process all UI Benefits mail.
Processed incoming continued claims, setting applicable issues.
Process and code return mail.
Qualifications
PREFERENCES:
Preference may be given to those with Customer Service experience in phone and email correspondence.
Preference may be given to those with Microsoft Excel and Microsoft Word experience.
KNOWLEDGE:
Knowledge of techniques for providing a high level of customer service.
Ability to be a team player.
Ability to multitask and prioritize.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
