JOB REQUIREMENTS: SUMMARY/OBJECTIVE: The Accounts Payable Specialist is a crucial part of our organization\'s financial operations. They are responsible for managing the company\'s financial obligations to vendors and suppliers. This includes processing invoices, making payments and maintaining accurate records of all financial transactions. The role ensures smooth operation by setting up and maintaining good relationships with vendors and ensuring timely payments. E SSENTIAL JOB FUNCTIONS: Specific duties include, but are not limited, to the following: Vendor Communication: Set up new vendors and maintain contact with existing vendors. Act as a primary point of contact for vendors, addressing inquiries, resolving payment issues, and maintaining strong relationships. Invoice Processing: Receive, review, and verify invoices from suppliers, ensuring goods or services were received. Input data into the system for payment. Payment Monitoring: Track payment deadlines, follow up with suppliers to confirm receipt, and communicate with internal departments to ensure authorization and proper processing. Record Keeping: Maintain accurate records of invoices, payments, and other relevant financial information within the accounting system. This is crucial for auditing and financial reporting. Account Reconciliation: Review and verify financial transactions for accuracy and completeness. Investigate and resolve discrepancies promptly. Discrepancy Resolution: Address discrepancies arising from missing information, pricing errors, or delivery/quality issues. This requires strong communication, attention to detail, and understanding of company policies. Payment Term Negotiation: Work with suppliers to optimize payment schedules and terms to maximize cash flow for the organization. Compliance: Adhere to internal controls, accounting standards, and relevant financial regulations related to accounts payable. Process Improvement: Identify opportunities to streamline and automate accounts payable processes, enhancing efficiency and accuracy. 1099 Processing: Prepare and submit accurate 1099 forms to the IRS and relevant recipients by the annual deadline. Employee Reimbursement Processing: Receive, review, and verify employee expense reports and supporting documentation for accuracy and adherence to company policy. Process approved reimbursements promptly. Credit Card Account Reconciliation: Regularly reconcile company credit card accounts, ensuring all transactions are accurately recorded, categorized, and verified against statements. Investigate and resolve any discrepancies promptly. Understanding of fixed assets related to construction in progress and/or project accounting. SUPERVISORY RESPONSIBILITY: This position has no supervisory responsibility. TRAVEL: Little to No travel is expected for this position. REQUIRED EDUCATION AND EXPERIENCE: Associate\'s degree in accounting is preferred. 1 year of experience in accounting or other related financial support role. Combination of experience and education considered in lieu of requirements. WORK ENVIRONMENT: This job operates in a professional office environment. This roleroutinely uses standard office equipment such as computers, printers, phones, photocopiers, filing cabinets. This is a largely sedentary role; however, standing, sitting, walking, bending, and being able to lift 50 pounds safely is required. POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time, non-exempt position with 40 hours per week expected. Days and hours of work are primarily Monday through Friday, 8:00a to 4:30p. However, evening and weekend hours are required as job duties demand. Native American preference will be applied to hiring of this position as defined in Title 25, U.S. Code, Chapter 14, Subchapter V, subsection 273 & 274.
