Overview

The Accounts Payable Specialist is responsible for reviewing, validating, coding, and entering distributor bill backs related to monthly promotions. This role requires frequent collaboration with the sales team and distributors to ensure accuracy, compliance, and timely processing of invoices. The ideal candidate will have strong accounting skills, attention to detail, and proficiency with SAP (Vistex) and Microsoft Excel.

Key Responsibilities

Review, validate, and code distributor bill backs for monthly promotions.

Process invoices for payment and ensure accuracy against backup reports and promotional agreements.

Research missing documentation (e.g., promo agreements, chain alerts) and follow up with distributors or regional managers.

Enter data into Vistex (SAP) and process revisions as needed.

Provide training to distributors on bill back submission when required.

Respond to phone calls and emails from the sales team and distributors.

Maintain organized filing systems (alphabetical, numerical, and by receipt date), which may involve lifting, walking, and bending.

Assist with special projects and ad-hoc assignments.

Qualifications

2-3 years of accounts payable experience required.

Prior AP or accounting experience ; auditing or accounting coursework preferred.

SAP (Vistex) experience a plus; minimum of 2 years in accounting technology systems required.

Advanced proficiency in Microsoft Excel and Outlook (testing scores preferred).

Strong computer skills, including file management and system navigation.

College degree (AA or higher) preferred but not required with applicable experience.

Extremely detail-oriented with minimal error rates.

Strong analytical, comprehension, and communication skills (verbal and written).

Fast learner, accurate typist, and proficient in 10-key (testing scores preferred).

Self-motivated, proactive, and able to manage time effectively.

Flexible schedule with willingness to work overtime as needed.

Pay and Benefits

The pay range for this position is $22.00 - $25.00/hr.
