Job Title: Accounts Payable Specialist. Location: Geneva, NY (Cayuga Nation Administrative Office). Reports to: Finance Director. Department: Accounting.

Position Overview: The Cayuga Nation is seeking a detail-oriented and reliable Accounts Payable Specialist to support the Nations financial operations by managing vendor payments, invoice processing, and related accounting functions. This position plays a critical role in ensuring accurate, timely, and compliant payment of expenses across multiple Nation departments and enterprises. Based in the Geneva, NY administrative office, the Accounts Payable Specialist will work closely with the Finance Director, accounting team, internal departments, and vendors to maintain financial integrity, support audits, and uphold the Nations financial policies and procedures.

Key Responsibilities: Accounts Payable Processing: Review, verify, and process vendor invoices for accuracy, proper approvals, and correct account coding. Match invoices with purchase orders, contracts, and receiving documentation as applicable. Enter invoices into the accounting system and ensure timely payment in accordance with vendor terms. Prepare and process check runs, ACH payments, and other disbursements. Vendor Management & Communication: Maintain accurate vendor records, including W-9s and payment information. Respond to vendor inquiries regarding payment status, discrepancies, and account balances. Assist with vendor onboarding and ensure compliance with Cayuga Nation policies. Reconciliation & Recordkeeping: Reconcile accounts payable subledger to the general ledger. Assist with month-end and year-end close activities related to accounts payable. Maintain organized documentation in compliance with record retention and audit requirements. Compliance & Internal Controls: Ensure adherence to Cayuga Nation financial policies, internal controls, and approval workflows. Support internal and external audits by providing requested reports and documentation. Identify discrepancies, inefficiencies, or opportunities for process improvement and communicate them to the Finance Director. Collaboration & Accounting Support: Work collaboratively with the accounting team and departments to resolve invoice issues and ensure timely approvals. Coordinate with procurement and administration as needed. Provide general accounting support to the Accounting Department.

Qualifications: Associates degree in Accounting, Finance, Business Administration, or related field preferred (or equivalent experience). 2+ years of experience in accounts payable or general accounting. Working knowledge of accounting principles and accounts payable best practices. Proficiency with accounting software and Microsoft Excel. Strong attention to detail, accuracy, and organization. Ability to manage multiple priorities and meet deadlines. Strong communication and customer service skills. Ability to handle confidential financial information with discretion and professionalism.

Work Environment: Based at the Geneva, NY administrative office. Minimal travel (less than 5%) between Nation offices as needed. Standard business hours, with occasional flexibility during peak processing or audit periods.
