Accounting/Administrative Support Specialist

Job Summary We are currently seeking a motivated and detail-oriented Accounting / Administrative Support Specialist to join our team. This role combines core accounting support functions with administrative responsibilities in a fast-paced, small-to-mid-sized business environment. The ideal candidate thrives in a dynamic setting, maintains exceptional accuracy in their work, communicates effectively, and demonstrates a genuine desire to grow professionally within the company.

Key Responsibilities Assist with accounts payable and accounts receivable processing, including invoice entry, payment preparation, customer invoicing, and payment application Reconcile bank statements, credit card transactions, and other financial records with high accuracy Maintain organized and up-to-date financial records, files, and documentation Support month-end and year-end closing processes under supervision Prepare basic financial reports and assist with data entry into accounting software Handle administrative tasks such as filing, data organization, correspondence, and coordination with vendors/customers Monitor deadlines for payments, filings, and reporting requirements Collaborate with operations, sales, and management teams to resolve billing or payment inquiries Identify opportunities for process improvements and participate in implementing efficiencies Perform other accounting, administrative, and support duties as assigned

Qualifications & Skills Required: Excellent verbal and written communication skills Proven ability to multitask and manage multiple priorities effectively Strong attention to detail and highly organized work style Self-motivated with a positive, proactive attitude Consistent punctuality and strong reliability Demonstrated ability to meet deadlines consistently, even under pressure Genuine desire to progress, learn new skills, and take on increasing responsibility over time Basic working knowledge of accounting principles (debits/credits, financial statements, bookkeeping fundamentals)

Preferred (but not required): Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field Any accounting-related certifications (e.g., bookkeeping certificate, QuickBooks certification, or similar) Prior experience in an accounting, bookkeeping, or administrative role (even entry-level) Familiarity with accounting software (QuickBooks, Sage, Xero, or similar) Personal Attributes We Value Takes pride in producing accurate, high-quality work Enjoys contributing to a small, close-knit team environment Eager to develop long-term career growth within a stable, local company Adaptable and willing to learn new processes and responsibilities
