The CUNY School of Medicine (SoM) located in the heart of Harlem, New York, is the only medical school in the City University of New York system and the only public medical school in Manhattan. Building upon 50 years of success as the Sophie Davis School of Biomedical Education, the institution transitioned to the CUNY School of Medicine in 2016. The CUNY SoM offers an accelerated BS/MD degree (7-year program) and a Physician Assistant Master's Degree (27 months program). The SoM is currently seeking (5) Administrative Executive Coordinators in the various departments of Community, Health and Social Medicine, Clinical Medicine, Physician Assistant Program, Medical Education, and Molecular, Cellular and Biomedical Sciences. The successful candidates will play a crucial role in providing high-level administrative support, including managing complex schedules, coordinating travel, and assisting with daily operations. This role will serve as a key resource of administrative support for the Academic Department and act as primary point of contact and gatekeeper, handling inquiries and requests as necessary. This role will also assume oversight responsibility for coordinating the daily administrative functions and logistics, ensuring all duties align with the guidance provided by the Department Chair.
Reporting to the Department Chair, the Administrative Executive Coordinator's duties include but are not limited to the following responsibilities:
Schedule and provide administrative support for meetings: assist with the preparation of agendas and collect and disseminate meeting materials to all relevant parties.
Work with the Associate Dean of the department and other administrators to support ongoing projects; monitor and perform necessary follow-up to meet project deadlines.
The Administrative Executive Coordinator will engage with internal and external leadership, handles sensitive communications and situations in a professional, cordial manner.
Follows policies and procedures; maintains accurate calendars, schedules, databases, records and files; collects data, distributes information, prepares reports and presentations.
Provides administrative support to search committees and coordinates activities with participants and human resources.
Learn and maintain solid working knowledge of enrollment related programs, services and systems; provides administrative support and backup to functional pillars during peak operations.
Provides clear communications on the Department Chair behalf, both within and outside the department.
QUALIFICATIONS
Bachelor's Degree required.
Preferred Qualifications:
Advanced Microsoft Office Suite (PowerPoint, Excel and Word) proficiency and experience with virtual meeting platforms.
Time management and organizational skills, with the ability to prioritize and accurately complete tasks independently.
Excellent communication skills (oral and written) with faculty, staff and students.
Well-developed interpersonal skills, including the ability to interact effectively with all levels of faculty and staff.

Maintains accurate calendars, schedules, and key dates.
Collects data for, prepares, and distributes reports and presentations using appropriate technology. Runs basic system queries and reports to provide data.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s), manuals, and other materials.
Provides clear communications on the Executive's behalf both within and outside the unit.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

COMPENSATION AND BENEFITS
Salary Range: $48,647 - $63,003
Salary commensurate with education and experience.
