Description:

The Wayne County Probate Court is looking for a Budget Supervisor under the direction of the Budget Manager, and in accordance with court policies and procedures and generally accepted accounting principles, trains all staff on their duties and ensures that all daily work is accurately completed by established deadlines. This position will also assist in budget preparation, monitoring, and reporting ensuring that financial resources are allocated efficiently and in accordance with legal and organizational standards. The Budget Supervisor will work closely with the Budget Manager and other court staff to maintain financial integrity and assist in strategic planning.

Duties and Responsibilities:**

Performs supervisory and specialized administrative work overseeing operational aspects of the Budget Department's operations. This position is a key participant in establishing and monitoring the budget by collecting, reviewing, and analyzing data that is used in the budget process. Assists with duties of the departmental manager in their absence.

Ensure the financial integrity of the Court by immediately notifying the Budget Manager and the Probate Register of any policy violation or any attempt of unethical behavior.

Under the direction of the Budget Manager, perform supervisory functions of the positions within the department, which includes:

Training

Coordinate and authorize coverage/time off

Conduct budget staff performance evaluation

Address issues, errors, follow up with staff

Monitor performance and productivity

Manage various court wide functions, including but not limited to:

Act as the Court's building liaison, which includes security and facility management.

In a timely manner, schedule court appointed interpreters pursuant to Court policy

Manage VOIP telephone system through Wayne County portal.

Accurately process travel requests pursuant to Court policy.

Accurately prepare and process the monthly Deposit in Transit Report to the County

Effectively coordinate and manage building projects to ensure completion pursuant to specification, budget, and timeline.

Oversee various financial processes, including but not limited to:

Employ a systematic follow-up system to ensure departmental deadlines are monitored and met.

Ensure all Court expenditure requests and purchases are processed timely, and in accordance with established internal approval and purchasing guidelines.

Obtain vendor quotes and process purchase orders/internal orders as needed

Maintain and review all departmental spreadsheets for timeliness and accuracy

Ensure payment process for court-appointed attorneys is processed timely and accurately

Facilitate payroll file review and submission to Wayne County

Accurately maintain the court's case management records as assigned and resolve related issues. Examples include:

Attorney information, including the State Bar of MI import

Identity consolidations

Zip code updates

As needed, assist Budget Manager with departmental processes and procedures including but not limited to:

Preparation/submittal of the Court's annual budget request to Wayne County

On a quarterly basis, assist with completion and distribution of the detailed budget status report stating the Court year-to-date financial position.

Assist with completion and distribution of a detailed final budget status report stating the Court final financial position for the fiscal year.

Assist with development of departmental policies/procedures to ensure internal controls are in place to protect the financial integrity of the Court.
