DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The Administrative Specialist (MOAL) reports to the Administration Manager of the Mayor's Office for Adult Literacy. This position supports the administrative functions of the office in the achievement of its goals and is responsible for coordinating digital communications for the office. Must be able to work occasional evenings and weekends (Saturdays) as the schedule requires. Candidates with directly related experience in adult literacy or adult education program administration preferred.
The essential functions of the Administrative Specialist are the following:
Organizes and maintains files in print and electronic formats.
Coordinates calendar, activities, and special events; schedules meetings; manages the Director's meeting calendar.
Supports project implementation, tracking, and documentation as appropriate.
Orders and tracks supply orders for the Office.
Coordinates with highly dynamic teams and leadership of adult literacy stakeholders throughout Houston for the achievement of MOAL's goals and objectives.
Responds to inquiries, requests, and complaints from literacy providers and other stakeholders whether written, on the phone, or through social media.
Responsible for developing compelling content for multiple platforms keeping presence fresh, relevant, and in line with appropriate messaging.
The Social Media Specialist will be required to edit, post, and archive digital images, create short-form video content, create and manage content calendars, and perform regular analytic reviews.
Must be able to work occasional evenings and weekends (Saturdays) as the schedule requires.
Performs other duties as delegated by the MOAL Administration Manager including
handling issues and information of a highly sensitive nature.

WORKING CONDITIONS:
The position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions. Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances; or the ability to make coordinated eye/hand movements on a patterned response space within low tolerance demands with no real speed requirements.
MINIMUM REQUIREMENTS
EDUCATIONAL REQUIREMENTS
Requires a bachelor's degree in Business Administration, Liberal Arts, or a related field.
EXPERIENCE REQUIREMENTS
(3) Three years of administrative experience are required. Professional administrative experience may be substituted for the above education requirement on a year-for-year basis.
PREFERENCES
Experience with adult literacy or adult education program administration preferred.
Candidate must have good writing and communications skills and the ability to create reports and presentations.
Experience with professional social media posting and overseeing social media campaigns.
Highly organized and detail-oriented, able to manage multiple tasks and incoming requests
Must have a positive attitude, the ability to perform responsibilities without constant oversight and work as a member of the team.

A valid driver's license preferred.
