Job Description

In the role of Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will encompass a wide range of administrative tasks, from greeting visitors and handling mail to supporting office leadership and managing office supplies.

Responsibilities

Provide receptionist duties, including greeting visitors, processing mail, and maintaining parking permits.

Assist office leadership with administrative support and preparation of reports.

Manage office administrative operations, including coordinating with building management and vendors.

Maintain records of workstations and coordinate with IT for staff relocations.

Assist with purchase-card transactions and track receipts for accounting.

Support office-wide communications and assist HR with onboarding new hires.

Prepare social media posts promoting office activities.

Lead planning and coordination of internal staff events and support employee engagement.

Provide assistance to other offices as needed, including travel support.

Coordinate meetings, including onsite meals and dinner reservations.

Maintain organizational charts and email distribution lists.

Type, revise, and combine various materials from rough drafts.

Assist with scheduling duties as required.

Essential Skills

Strong proficiency in MS Word and Outlook.

Exceptional grammar, punctuation, and proofreading skills.

Ability to prioritize tasks in a fast-paced environment.

Self-motivated and detail-oriented.

Professional communication skills (phone and in-person).

Ability to handle confidential information.

Additional Skills & Qualifications

Proficiency with Microsoft PowerPoint and Excel.

Experience with social media management (LinkedIn).

Event planning and coordination experience.

Associates degree preferred.

High School diploma or equivalent required.

Work Environment

This is an in-office role, Monday to Friday from 8 am to 5 pm, with the possibility of starting as early as 7:30 am. You will be working in a quiet engineering firm with approximately 30-40 employees, where visitors frequently come and go.

Job Type & Location

This is a Contract position based out of Fort Lauderdale, FL.

Pay and Benefits

The pay range for this position is $24.00 - $26.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
