Position Summary
We are seeking a highly organized and proactive Project Coordinator to join our dynamic construction team. The ideal candidate will support Project Managers and field teams with a range of administrative and operational tasks to ensure the smooth progression of projects. This role involves managing ERP data entry, coordinating field crew activities, maintaining equipment and material records, and providing administrative support. Position Details
ERP System Data Entry and Reporting (COINS):
Enter and manage change orders, subcontract agreements, subcontract change orders, labor feedback, and job cost reports.
Scheduling & Field Crew Support:
Assist Project Managers with updating and entering construction schedules using MS Project.
Compile drawing packages and ensure timely delivery to Foremen/General Foremen.
Manage site access, control, and crew badging (including Red Badge submissions).
Submit overtime requests and organize daily crew reports, updating attendance logs.
Submit and maintain weekly staff and crew rosters, updating field organizational charts.
Material and Equipment Management:
Maintain live inventory lists for tools and consumables.
Support field teams by updating equipment logs and creating/manage labels for welders, bonders, and other equipment.
Document Control & Support:
Review, submit, and track RFIs (Requests for Information).
Manage drawing downloads in Procore and oversee print management.
Administrative Support:
Assist with IT requests, manage office phones, and coordinate Amazon orders for office supplies.
Collaborate with site APA/Admin to ensure smooth office operations.
Subcontractor & Purchasing Management:
Assemble and track subcontracts, change orders, insurance documents, billings, lien releases, and certified payroll.
Issue and track purchase orders, monitor material arrival dates, and receive materials through the web-based purchasing database.
Collect and review timecards for union personnel and maintain accurate manpower lists.
Project Reporting & Closeout :
Assist Project Managers with creating and tracking daily field reports, including equipment logs and drawing packages.
Gather and submit customer-specific contractual and permit requirements (e.g., city licenses, certificates of insurance, safety programs).
Analyze open commitments at project closeout and ensure all costs are settled with subcontractors/vendors before project closure.
Qualifications
Education & Experience:
Associate degree (AA) preferred or equivalent experience.
Minimum of 2 years of related experience, preferably in construction or mechanical systems.
Skills & Abilities:
Strong verbal and written communication skills to facilitate smooth communication across project teams.
Excellent time management, organizational, and multitasking skills.
Strong problem-solving and analytical abilities.
Proficiency with MS Project, Procore, and COINS (or similar ERP system) is preferred.
Ability to organize and manage multiple priorities with attention to detail.
Familiarity with construction scheduling, RFI tracking, and field crew management.
Knowledge of mechanical systems and technical drawings is highly beneficial.
Strong communication skills to liaise between project managers, field staff, and subcontractors.
Solid Excel skills and experience with general administrative tasks.
