Medical Receptionist
Location: Norfolk, VA (On-site)
Work Schedule: Monday-Friday, 7:30 AM-4:30 PM or 8:00 AM-5:00 PM (alternating weekly)
Contract Duration: 3 months (Contract role with strong potential to convert to permanent based on performance)
Overview
We are seeking a Medical Receptionist to support a high-volume ENT clinic located in Norfolk, VA. This position is responsible for front desk operations, patient registration, appointment scheduling, and EMR documentation. The ideal candidate has strong customer service skills, medical office experience, and the ability to work independently in a busy clinical setting.
Responsibilities
Open and/or close the front desk based on assigned shift.
Answer and triage incoming phone calls; direct messages to appropriate staff or providers.
Greet, check in, and check out patients in a welcoming and professional manner.
Prepare charts and enter accurate patient information into the EMR system (Epic).
Schedule new and follow-up appointments.
Upload IDs and insurance cards into the EMR.
Verify insurance coverage and ensure referrals are in place.
Collect co-pays and process payments.
Upload documentation, process faxes, and support provider information requests.
Assist with various administrative tasks to keep clinic operations flowing smoothly.
Support additional ENT locations when necessary.
Required Qualifications
Education: High school diploma or equivalent.
Experience & Skills:
Minimum 2+ years of medical office or medical reception experience.
Experience with patient registration preferred.
EMR experience (Epic preferred).
Strong customer service and communication abilities.
Ability to multitask between phones, check-ins, and EMR documentation.
Strong computer skills and ability to learn systems quickly.
Ability to work proactively and independently in a small office setting.
Knowledge of insurance verification and referrals.
Strong reliability, professionalism, and attention to detail.
Preferred Skills
Experience in ENT or other specialty clinics.
Medical terminology knowledge.
Ability to remain calm and organized during high-volume periods.

Reporting structure includes a Nurse Manager and a Practice Manager.
Position is needed urgently due to a recent internal promotion.
Standard background check required prior to start.
