The purpose of this position is to provide comprehensive administrative support to the Corporate Impact Organization Vice President, enabling them to focus on strategic initiatives and day-to-day responsibilities. This role requires exceptional organizational abilities, attention to detail, discretion, and strong communication skills. The incumbent will be required to instill confidence and trust by proactively identifying and anticipating administrative or other support needs and ensuring they are met.
MAJOR JOB RESPONSIBILITIES:
Manage the Vice President's calendar, scheduling meetings, appointments, and travel arrangements efficiently.
Act as a gatekeeper, screening and prioritizing incoming emails, calls, and requests for the Vice President.
Prepare and edit correspondence, presentations, reports, and other documents as required.
Coordinates and schedules logistics for meetings (e.g., conference rooms, refreshments, agendas, minutes, audio-visual equipment, registration fees, participant invitations, travel reservations, etc.)
Conduct research and compile data to support the Vice President in decision-making processes.
Assist in the preparation and coordination of corporate events, conferences, and executive gatherings.
Handle confidential information with discretion and professionalism (e.g., SoCo Gas Management Council Meeting agenda items, potential business opportunities, executive pay/issues/decisions, Board decisions).
Communicate with internal and external stakeholders, including senior executives, clients, vendors, and partners, on behalf of the Vice President.
Support Corporate Impact team members with administrative tasks
Undertake special projects and assignments as directed by the Vice President
REQUIREMENTS: (Education, Experience, Knowledge, Skills )
Bachelor's degree in Business Administration, Communications, or a related field preferred.
Proven experience (min 3-5 years) as an executive assistant or administrative assistant, supporting senior executives in a corporate environment.
Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Excellent written and verbal communication skills, with a high level of professionalism and attention to detail.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility and adaptability to changing priorities and demands.
Strong interpersonal skills, with the ability to build relationships and work collaboratively across all levels of the organization.
Previous experience in a corporate environment is highly desirable.
