Gilbert has an exciting opportunity for an Administrative Assistant II for Cactus Yards who is innovative, driven, and passionate about serving our community. This position reports through the recreation division of the Parks and Recreation department. The Administrative Assistant II will possess outstanding interpersonal, communication and technology skills - specifically be outgoing, self-directed, team-oriented and comfortable with technology, and ActiveNet software. They will be skilled at organizing and prioritizing multiple tasks and changing priorities at a sports complex; able to remain positive and productive when faced with tight deadlines and the pressure of a heavy workload. They will possess the ability to handle sports related questions and work with a variety of internal and external customers in a professional manner.
Additional responsibilities will include (but not limited to):
Facility scheduling and reservations
Assists and consults with customers via telephone, in person, and online, addressing questions and concerns; providing information regarding facility assets, rules, policies and procedures. As assigned, researches, responds and resolves inquiries and complaints.
Updates, maintains, and retrieves information from files and automated information systems; incorporates data into assigned records and documents; creates and/or supports the development and compilation of reports and summaries; and generates automated reports from systems.
Review and make recommendations for website and social media changes as assigned.
Creates, organizes, updates and maintains files and SOP's; retains and purges files in accordance with established records and retention policies and procedures.
Provides administrative support and/or shift coverage for the sports complex team shop as assigned.
Generate and process invoices as assigned for facility fees, rentals, and merchandise.
Process and track vendor and inter-agency payments and certificates of insurance.
As assigned, performs administrative support activities, which may include; creating and editing documents and spreadsheets, researching complex information, editing, and/or providing related support for marketing and social media.
Ability to multi-task in a high-pace, high-energy environment and assist with various facility needs as assigned. This includes but is not limited to booth set-ups and tear-downs, assisting facility personnel with special projects, events and tours, accepting and distributing deliveries, ordering office supplies and merchandise, monitoring social media and working with sports vendors.

Here are some position requirements:
High School Diploma or G.E.D., Associates Degree preferred
Four (4) years of experience with comparable previous positions
Proficient with MS Office and ActiveNet
Possess outstanding interpersonal, communication and technology skills
Valid Arizona Driver License
This position is an At-Will position and is FLSA Non-Exempt -eligible for overtime compensation
