Summary You will serve as an Administrative Support Assistant (OA) in the Administrative/Technical Support Staff (130S), Quality Assurance Department (130) of NORFOLK NAVAL SHIPYARD. Responsibilities You will review incoming mail addressed to the Department Head and outgoing office correspondence for completeness, clarity of expression, adherence to shipyard instruction and office policy. You will research, gather, analyze, and consolidate data for both recurring and special reports and make recommendations to management based on evaluation of information gathered. You will develop and maintain various file systems which allow for the quick retrieval of subject matter dealing with department policy, administrative requirements and operations. You will perform timekeeping duties (SUPDESK) and perform travel requests for the Department Head and other employees of the Department as required. You will compile, consolidate and summarize budgetary data from source documents such as supply orders, purchase orders, accounting records, work reports, payroll records for use in preparing estimates and providing statistical data as requested. You will provide assistance and be a source of information to the Department Head on a wide range of subjects. Requirements Conditions of Employment Qualifications Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: Experience performing timekeeping duties and processing travel requests. Experience utilizing office automation systems to perform word processing duties and prepare narratives, charts, graphs, and handouts for briefings and presentations. Experience effectively communicating both orally and in writing and exercising sound judgement in the accurate exposition of facts, to resolve complex problems and make appropriate recommendations to management. Experience composing correspondence and reports observing the appropriate correspondence formats, forms, routing, and usual terminology, broad knowledge of grammar, spelling, and punctuation. Experience using tact and diplomacy in dealing with the various levels of department and shipyard managers/supervisors and employees. Experience working independently, accepting responsibility, being resourceful and exercising sound judgement.
