The position provides internal administrative support, including distributing information, assisting with maintaining filing systems, reviewing and researching natural gas facilities and pipeline operations for compliance and reporting purposes, and preparing and editing reports and documents. The role may offer guidance to others and operate under the general supervision of the Division Support Section Manager, with moderate discretion in exercising initiative and independent judgment.Essential Job FunctionsPrepares, edits, and distributes correspondence, reports, studies, forms, and other documents for the Division Director.
Responds to inquiries related to open records and public information requests concerning the divisionand#8217;s technical programs, administrative processes, procedures, and regulatory activities.
Reviews, clarifies, and disseminates information regarding agency programs and procedures, including maintaining and updating online content.
Provides administrative support to the Division Support Section Manager by coordinating meetings, conferences, and seminars, and preparing related materials.
Assists with organizing and filing ad-hoc submissions, reports, and business planning documents in accordance with the commissionand#8217;s records retention schedule.
Supports Critical Infrastructure Division (CID) headquarters and Regional Office staff as needed, including maintaining CID activity files, responding to report queries, and updating procedure manuals. Assists with maintaining, updating, locating, and identifying CID files, including support for ongoing filing projects.
Maintains and updates staff rosters, maps, assignment charts, and report obligation tracking tools.
Updates procedure manuals and training modules as needed to meet business requirements and performs additional assignments to support workflow and production needs.
Assignments may include supporting business processes for other Regional Offices. Performs related duties as assigned.
The position may require standing for extended periods while performing copying and filing tasks, and the ability to lift boxes weighing up to 20 pounds.
Effective verbal, written, and telecommunication skills and the ability to manage multiple tasks are required.

Qualifications: Minimum QualificationsGraduation from a standard senior high school or GED.
A minimum of two years of professional administrative support experience.
Availability to work a standard schedule of 8:00 a.m. to 5:00 p.m., Monday through Friday.
Relevant education and experience may be substituted on a year-for-year basis.
Proficiency in computer use, including a strong working knowledge of Microsoft Excel, Word, and other Microsoft Office applications.
A valid Texas Driverand#8217;s License with a satisfactory driving record is required.Preferred QualificationsOne year of experience in business office operations, including communicating rules, policies, and procedures.
One year of experience preparing business documents with strong grammar, reading comprehension, and content tailored to the intended audience.
Demonstrated experience providing direct administrative support to a senior-level manager or director.
Experience editing, publishing, and maintaining online content for an agency-level website.
Experience managing both electronic and hardcopy records, including maintaining, organizing, and updating filing systems.
