Learning Coordinator, Clinical Epic Training

Work Location: Fully Remote

Work Hours: Monday-Friday daily shift but may rarely be asked to work early (start at 6a), late (end at 10p), or weekend shifts during Bridges go-lives and other large implementation.

Purpose:

The Learning Coordinator is responsible for coordinating and supporting Epic EHR training programs that enable clinical staff to achieve proficiency and confidence in system use. This role manages scheduling, logistics, and delivery of classroom, virtual, and on-demand training sessions, while ensuring training materials and resources remain accurate and accessible. The coordinator leverages Learning Management Systems (LMS) to track learner progress, compile reports, and monitor engagement, providing actionable insights to improve training effectiveness. Acting as a liaison between trainers, informatics teams, and operational leaders, the Clinical Learning Coordinator plays a critical role in preparing staff for go-lives, upgrades, and ongoing optimization initiatives. Through strong organizational skills, technical support, and collaboration, this position fosters a culture of continuous learning and drives successful Epic adoption across clinical teams.

Responsibilities:

Build and maintain courses and role-based learning paths (including prerequisites, equivalencies, and expirations) in UPMC's Learning Management System (LMS).

Manage enrollments, rosters, waitlists, and automated assignment rules; troubleshoot user access and completion issues.

Configure and monitor audiences/automations in coordination with HR Department (e.g., HRIS feeds for new hires, transfers, and role changes).

Produce and distribute operational and compliance reports/dashboards (registrations, completions, no-shows, capacity).

Ensure data quality and governance (naming conventions, version control, term dates, instructor resources).

Serve as the central point of contact for trainers, clinic managers, HR onboarding, and IT security/access teams.

Publish high-clarity learner communications (requirements, logistics, reschedule policies, pre-work instructions).

Facilitate issue resolution and escalations (capacity constraints, course conflicts, last-minute provider changes).

Coordinate scheduling and logistics for Epic classroom, virtual, and on-demand training sessions.

Utilize LMS to design, deliver, track, and report on Epic training programs.

Provide real-time troubleshooting and technical support during virtual sessions.

Assist in preparing and organizing training activities for Epic go-lives and upgrades.

Track training attendance, learner readiness, and escalate issues as needed.

Collaborate with IT, training, and project teams to ensure communication and logistics are seamless.

Compile and maintain reports on training completion, competency validation, and learner progress.

Collect feedback and provide actionable insights to improve training effectiveness.

Monitor learner engagement and suggest improvements for digital learning initiatives.

Work closely with Principal Trainers (PTs), Credentialed Trainers (CTs), Clinical Informatics, and operational leaders.

Communicate consistently and professionally with clinical, operational, and administrative stakeholders.

Participate in team meetings and contribute to collaborative planning.

Assist in developing new learning models and digital strategies to enhance Epic adoption.

Support tasks related to creation of interactive e-learning content and virtual learning environments, as directed by a Principal Trainer.

Promote a culture of continuous learning and improvement across clinical teams

High school diploma plus 5 years' experience in clinical operations, project planning, and/or administrative functions required.

Bachelors Degree in healthcare, education, information technology, or related field preferred.

Familiarity with Learning Management Systems (LMS), e-learning platforms, and virtual training tools strongly preferred.

Excellent written and verbal communication skills.

Strong computer skills, including Microsoft Word, Excel, PowerPoint, and reporting tools (Excel, PowerBI).

Knowledge of Epic EHR workflows and adult learning principles preferred.Top 3 Skills Needed:

Learning Management System (LMS) administration proficiency (course building, enrollment management, reporting, troubleshooting)

Epic training operations coordination (familiarity with Epic training, course building, enrollment management, and role-based training paths)

Strong communication and stakeholder engagement (working with trainers, clinicians, and operational leaders)Preferred:
