Job Summary:
The Accounting Specialist performs routine and recurring accounting and administrative duties in support of on-site financial operations, in accordance with well-established company procedures, internal controls, and confidentiality requirements. This position is responsible for processing transactions, maintaining records, preparing standard reports, and providing administrative and operational support to the Property Controller and accounting team. Work is performed under established guidelines and supervisory direction and does not include responsibility for setting financial policy or exercising independent judgment on matters of significance.
Job Description:
ESSENTIAL FUNCTIONS - ACCOUNTING
Process daily bank deposits and perform assigned cash handling tasks in accordance with established procedures, including deposit preparation, safe access, replenishment and documentation.
Provide cash handling training and procedural support to departments as directed and ensure required documentation is completed.
Process purchase orders, invoices, bill input and related documentation based on approved requests.
Perform routine accounts payable, accounts receivable, and payroll functions, including data entry, reconciliation and tracking.
Process guest refund transactions and ensure proper documentation and system updates.
Maintain tip audits, tip logs, and standard reports for the Food & Beverage department.
Handle confidential payroll and accounting-related information in accordance with company policy.
Prepare and maintain recurring reports, including daily revenue reports, departmental reports, and event P&Ls, following established formats.
Upload financial data into accounting systems, including Sage Intacct and point-of-sale platforms.
Monitor the accounting email inbox and forward routine invoices, statements and inquiries to appropriate personnel.
Assist with vendor documentation and reporting, including vendor setup, support and 1099 preparation assistance.
Ensure transactions are completed accurately and within required timeframes.
Provide backup coverage for routine accounting and payroll input functions as assigned.
Perform additional accounting-related duties that are routine, recurring, and consistent with the scope of the position, as assigned by the Property Controller.
ESSENTIAL FUNCTIONS - ADMINISTRATION
Receive, sort and distribute incoming mail, faxes, and deliveries; prepare outgoing mail and shipping as requested.
Process gift card transactions and maintain related records and reconciliations.
Order office supplies and maintain inventory of standard administrative supplies.
Maintain administrative records related to employee perks, lockers, season passes, and authorize discounts, as assigned.
Assist with point-of-sale access administration and documentation under established procedures.
Provide administrative support to the Property Controller and Director of Human Resources, including filing, record maintenance, and scheduling assistance.
Assist with audits, reporting requires, and special projects that are procedural in nature.
Perform other routine administrative duties as assigned.
SKILLS AND KNOWLEDGE REQUIREMENTS INCLUDE
Associate's Degree in Accounting or equivalent combination of education and experience.
Previous experience of employment in accounting, payroll or related field, preferred.
Strong knowledge of accounting principles and practices.
Excellent analytical and problem-solving skills.
High level of accuracy and attention to detail.
Strong organizational and time management skills.
Capacity to manage multiple tasks and meet deadlines.
Outstanding communication and interpersonal skills.
Proficient in routine office management and clerical tasks; including typing, filing, record maintenance, and multitasking.
Proficiency in MS Word, Excel, Power Point required. Sage Intacct is preferred.
Demonstrated ability to interact effectively with diverse individuals, a willingness to learn new skills, and the capacity to solve problems and coordinate schedules.
PHYSICAL AND MENTAL REQUIREMENTS
Ability to sit at a desk in front of a computer and monitor phones for extended amounts of time for up to 8 hours a day.
Ability to travel between locations at the resort. Valid drivers license required.
Ability to push, pull, and lift up to 25 lbs.
Reading and writing work-related documents in English.
Constantly communicates and receives verbal communication with other employees.
Speech recognition and clarity, including the ability to understand the speech of customers and co-workers, and the ability to speak clearly in English to ensure understanding by customers and co-workers.
Physical presence at the job site is essential to perform job duties.
Ability to work extended hours and weekends when required.
