Job Title: Temporary Admin Specialist

Location: Santa Clara California

Pay Range: $30 an hour Mon-Fri 8am-5pm

Position Summary

The Temporary Site Services Coordinator supports day-to-day facility operations, customer service functions, administrative workflows, and health & safety procedures for the site. This position ensures classrooms, common areas, and services operate smoothly and provides front-line support to instructors, students, staff, and visitors. The role requires strong organizational skills, exceptional customer service, and the ability to manage multiple priorities in a fast-paced environment.

Essential Job Functions & Percentage Breakdown

30% - Facility Support & Coordination

Unlock classrooms daily; lock conference rooms and other spaces as needed.

Post printed classroom signs and display the daily TV schedule.

Organize next-day class signage and create weekly UNEX and BE class schedules for lobby TV monitors.

Publish updated marketing videos on digital signage.

Check inventory for coffee and office supplies; restock and order supplies as needed.

Order custodial supplies when necessary.

Maintain cleanliness and readiness of coffee/refreshment areas (brew coffee, restock tea, cups, sugar, creamer, etc.).

Create, print, and laminate building and classroom signage.

Create and print UNEX student ID cards.

Print certificate/specialization flyers for the lobby.

Manage lost & found items and ensure secure storage.

Report building security concerns and assist with temporary badge returns.

15% - Health & Safety

Coordinate with security regarding schedule updates and building access.

Monitor classrooms for instructor attendance; notify Academic Services if an instructor does not arrive.

Support building safety by reporting issues and ensuring classroom readiness.

Attend weekly Huddle Meetings to communicate operational updates and facility concerns.

25% - Administration

Stamp outgoing mail and prepare shipments; create FedEx labels and schedule pickups.

Answer phone calls and direct inquiries to the appropriate departments.

Read, triage, and respond to emails in a timely manner.

Maintain, update, and distribute phone lists.

Create conference room calendars monthly.

Check EMS daily for reservations and account requests.

Update Google Calendars with reservations/bookings.

Edit or delete flexible classes on Google Calendar as needed.

Assist with quarterly classroom assignments for UNEX, Baskin Engineering, and AP Testing (UC Scout).

Notify Academic Services of scheduling conflicts or instructor/classroom issues.

30% - Customer Service

Provide in-person support to instructors, prospective students, and current students.

Assist with class questions, certificate information, facility concerns, and general inquiries (phone and in-person).

Work closely with IT to support instructional technology needs.

Communicate and coordinate event details, reservations, and updates via email or phone.

Check on UNEX flexible classes to verify instructor arrival.

Offer general front-desk support and ensure visitors receive prompt, accurate information.

Minimum Qualifications

Education: High school diploma or equivalent required; some college coursework preferred.

Experience: 1-2 years of experience in customer service, administrative support, or facilities coordination preferred.
