The Department of Mathematical Sciences has a vacancy for anAdministrative Assistant 2 position.

The position of Administrative Assistant provides clerical support to middle level supervisors, academic department heads, directors, coordinators, or managers. Employees perform recurring duties independently; however, they are given specific instructions for non-routine assignments as needed and/or exercise a high degree of independent judgment and initiative in determining the approach/action to take in a non-routine situation. One year of experience in administrative services. One year of experience in which clerical work is a major duty.

Minimum Qualifications
One year of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will substitute for six months of the required experience.

Job Duties and Other Information
Job Duties:
Provide clerical support to the Department Head and other faculty/staff in the department:
Screens telephone calls and visitors according to supervisor's request; may refer calls to appropriate staff.
Prepares, proofreads, and edits correspondence, reports, and other materials.
Maintains files and reference manuals/materials; ensures confidentiality of information, as necessary; supervisor's calendar, as instructed, making appointments and arranging meeting rooms and materials.
Maintains confidential files and process student records as necessary to include degree plans with changes or modifications, grades, and graduating student forms necessary to fulfill graduation requirements. Uses Degree Works for comparison to paper form.
Sorts and distributes incoming mail.
Performs administrative functions such as payroll preparation, travel reports, supply requisitions and track inventory.
Performs other clerical duties as required.

This vacancy is being announced as a classified position and will be filled as a Probational, Promotional, or Job Appointment. This is a full-time, 40-hour per week position and considered non-exempt under the provisions of the Fair Labor Standards Act and overtime can be mandatory. This position may require a clear driving record if required to drive on behalf of the University.
