Duties Description DUTIES:The Administrative Assistant position requires excellent computer, communication (oral and written), and organizational skills. Experience and knowledge of Microsoft Office is essential.Answers incoming phone calls from the general public and Agency staff.Organizes, files, and scans appropriate Management Reviews as directed by Unit Staff.Assists Asset Manager in preparation of daily and weekly reports and resident communications as needed.Maintains the inventory of office supplies, and requisitions new supplies as needed.Performs clerical tasks and general office duties including the use of office equipment, opening mail, completing travel vouchers for senior staff, using Outlook email, scheduling of conference calls, conference rooms, and maintaining the unit calendar; data entry; e-mail; preparation of correspondence.Organize travel accommodations and complete travel touchers for senior staff.Ability to acclimate and familiarize with NYSHCR website, Agency departments, and housing programs to direct the public and Agency staff to the appropriate information or department.Answers and conducts follow-ups to the Manufactured Homes Program (MHP) email mailbox and MHP 1-800 telephone line.May be responsible for contact with the public, including park owners, operators, tenants, and all general questions regarding the MHP; opening all case files, computer input, generation of letters to park owners or operators informing them of the noncompliance, and all pertinent case tracking.Performs any additional reasonably related duties assigned by supervisor
Minimum Qualifications QUALIFICATIONS: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.NON-COMPETITIVE MINIMUM QUALIFICATIONS:Two years of experience* in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.MQ Substitution: Certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.A permanent non-competitive appointment may also be made pursuant to Section 52(7) of the Civil Service Law, if three or fewer qualified candidates in the department promotion field apply for this position. Qualifications for a non-competitive promotion for this title include: one year of service in a clerical title allocated to Grade 6 and above; and completion of a two-year traineeship.70.1 TRANSFER QUALIFICATIONS:One year of permanent or contingent permanent service in an eligible title for transfer determined to be similar by Civil Service.
