Accounts Payable Specialist needed in Clearwater FL! This role has the opportunity to work from home after training.

Job Description

As an Accounts Payable Specialist, you will play a critical role in identifying repetitive invoice problems, analyzing root causes, and working with management to implement system-wide resolutions. You will ensure the company's assets are protected by preventing unauthorized payments, overpayments, and expense abuse.

Responsibilities

Research and resolve purchase order (PO) invoice discrepancies and credits related to pricing and receiving issues.

Review vendor credit balances monthly and work with vendors to clear credits older than 90 days.

Ensure vendor statements reconcile with open payables for both processed and unprocessed invoices, keeping statements within 90 days of the invoice date.

Run reports and queries to identify PO invoices with open cost messages, collaborating with the Supply Chain and vendors to resolve issues.

Utilize system knowledge to resolve problems related to 3-way match discrepancies and invoice matching errors.

Work with procurement to address fatal errors such as unit of measure and incorrect PO numbers, communicating these issues to the Accounts Payable Manager and key Supply Chain members.

Participate in cross-functional meetings to discuss and resolve issues, offering solutions.

Resolve fatal errors in electronic invoice interfaces via Electronic Data Interchange (EDI) or OnDemand AP (ODAP) daily.

Review and resolve open RNI receipts and ensure they are resolved within 180 days.

Coordinate with the Supply Chain to close appropriate lines.

Review and resolve open Vendor Returns monthly to ensure credits have been received and recorded, working with the Supply Chain to close balances over 90 days.

Essential Skills

Experience with large ERP systems.

Strong skills in invoice processing, vendor management, and accounts payable.

Proficiency in manual AP tasks such as indexing and scanning.

Ability to cut checks and handle invoice discrepancies.

Additional Skills & Qualifications

Experience in vendor management.

Ability to manage invoice discrepancies and matching.

Work Environment

The role initially requires onsite presence for 2-3 weeks for training. Once trained, the position offers the flexibility to work remotely, with the requirement to come onsite once every two weeks to scan mail. This is a full-time position, Monday through Friday, from 8:00 AM to 4:30 PM. Candidates must own and bring their own computer due to company policy for contractors.

Pay and Benefits

The pay range for this position is $19.00 - $22.00/hr.
