Job Title: Administrative Assistant III

Location: Minneapolis, MN

Type: Contract with opportunity to go direct.

Compensation: $35.00 - $38.00 hourly

Contractor Work Model: Hybrid

Hours: Hybrid - Onsite Tuesday through Thursday; Remote Monday and Friday

System One is actively recruiting for an Administrative Assistant III to provide high-level administrative support to a department, including direct support to a Vice President and their leadership team. This hybrid role supports daily business operations, scheduling, communications, and project-based administrative initiatives. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities with minimal oversight.

Responsibilities

Provide comprehensive administrative support to department leadership, including a Vice President and Directors

Manage calendars, meeting scheduling, conference coordination, and travel arrangements

Handle departmental communications, correspondence, and phone/email inquiries

Support timekeeping, expense processing, and basic budget-related tracking

Prepare, edit, and maintain reports, presentations, and documentation

Take meeting minutes and follow up on action items as needed

Manage and maintain SharePoint sites and departmental files

Coordinate with vendors and internal stakeholders

Support project-based administrative work, including compliance tracking, reporting cleanup, and training-related initiatives

Maintain organization of records, files, and confidential information

Perform additional administrative duties and special projects as assigned

Requirements

Minimum 7+ years of administrative experience, preferably at an Administrative Assistant III level or equivalent

Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and SharePoint

Excellent organizational, time management, and multitasking skills

Strong written and verbal communication skills (email, phone, and in-person)

Ability to work independently, manage assignments from start to finish, and meet deadlines with minimal supervision

High attention to detail and ability to prioritize competing tasks

Comfortable working in a hybrid environment and supporting multiple leaders

Preferred Qualifications

Experience with SAP, UKG, or Workday (timekeeping or administrative functions)

Prior experience supporting training-related functions or compliance initiatives
