Cheyenne Mountain Resort opened in 1985 and sits on 25 acres of land. The 4-StarFull Serviceproperty is nestled in the lush greens of Southern Colorado Springs and oversees impressive mountain views, along with exciting activities like golf, swimming, and tennis. These allow for the unique experience that you can only get at this resort.
Hourly Rate: $23-$25, commensurate on experience.
Position Overview: This position offers an exciting opportunity to support members of the resort's Leadership Committee, working closely with the Director of Engineering, Director of Food & Beverage, and the Executive Chef. The role plays a critical part in the daily operations of the hotel's Engineering, F&B, and Culinary teams, ensuring seamless coordination among the department, hotel leadership, vendors, and internal teams. With a blend of administrative expertise and operational awareness, the Operations Administrative Assistant helps maintain efficient workflows that uphold the hotel's safety, functionality, and guest satisfaction standards. This role manages administrative operations, facilitates communication, and ensures the smooth execution of both strategic initiatives and day-to-day priorities. The position requires exceptional professionalism, discretion, and the ability to anticipate needs in a fast-paced hospitality environment. Regular interaction with department heads, guests, and external partners demands poise, accuracy, and a high level of service.
Job Functions & Responsibilities:
Assisting in Managing Day-to-Day Operations
Provides administrative support to the Director of Engineering, Director of Food & Beverage, and Executive Chef.
Coordinates vendor visits, service appointments, and job applicant outreach.
Processes purchase orders, invoices, and inventory records for tools, supplies, equipment, and uniforms.
Supports daily shift operation and ensures compliance with all policies, standards, and procedures.
Schedules preventive maintenance tasks and tracks completion of work orders.
Inspects all department equipment as necessary and reports malfunction.
Checks staffing levels to ensure that guest service, operational needs, and financial objectives are met.
Assists with payroll closing.
Handles P Card transactions with honesty and integrity.
Communicates areas that need attention to staff and follows up to ensure understanding.
Coordinates cleaning program in all Engineering, F&B, and Culinary areas, identifying trends and making recommendation for improvements.
Follows property-specific guest recovery plan.
Stays readily available to assist Engineering, F&B, and Culinary colleagues.
Demonstrates service standards.
Elevating the Guest Experience
Goes above and beyond for customer satisfaction and retention.
Takes a proactive approach to dealing with guest concerns (HySat, We Care).
Sets a positive example for guest relations.
Stays readily available to assist all guests.
Reviews and responds to Medallia comments.
Additional Responsibilities
Supports onboarding and training documentation for Engineering, F&B, and Culinary colleagues, drafting SOPs/memos.
Creates guest-facing collateral (signs, menus).
Manage interdepartmental communication via telephone, in written form, e-mail, or in person.
Analyzes information and evaluates results to choose the best solution and solve problems.
Extends professionalism and courtesy to team members at all times.
Comprehends budgets, operating statements and payroll progress report.
Other duties as assigned by the Director of Engineering, Director of F&B, and Executive Chef.
Qualifications:
Strong analytical, organizational, and interpersonal skills.
Ability to interpret statistical and guest satisfaction data.
Excellent written and verbal communication skills.
High attention to detail and commitment to accuracy.
Experience in hospitality, Engineering, F&B, or Culinary Operations is a plus.
High level of discretion and ability to handle sensitive information.
Proficiency with office software and hospitality systems.
Ability to work independently, anticipate needs, and solve problems proactively.
